How Do I Stop Invitees From Booking Over Busy Events in My Connected Calendars?
Hi Calendly!
I’m currently using Calendly’s free tier and just noticed that invitees can now book over certain events on my connected calendars. I saw the “Free/busy rules” section with the option to “Allow invitees to book over selected meetings,” which I don’t recall being enabled or active before.
Can you please advise how to turn off this setting or prevent bookings over any events marked as “Busy” on my calendar? Has something changed recently in the free plan that might explain this behavior?
Thanks in advance for your help!

Hi @tocatlian, I’m really sorry if you got double booked. That would be unexpected and frustrating. The feature you are describing is intended to give you more flexibility not make your life more confusing.
Free/Busy rules are not set up by default however. If an exception has been made then it was generated by a user. Fortunately turning it off is really simple. For each meeting exception there is a little X next to it. Just remove the exception by clicking that X. Don’t forget to save any changes you’ve made!
Calendly’s default behavior is to not book over existing events, so there isn’t some extra setting to click. We won’t book over any meetings unless you specifically define them. Same goes for the Free/Busy rules. While there isn’t a specific on/off switch for the rule, adding events to book over activates that feature. Simply remove all of your meeting exceptions and the feature doesn’t run. Hope that helps.
Thanks for your prompt reply! Much appreciated. I’ve attached a few screen shots. Including connected calendars, meeting exceptions, and maximum of 1 meeting per day. But for some reason, people are able to book more than one meeting in a day. Wasn’t happening before. Not sure what may have changed or what setting is incorrect.
Hello,
I am having this same issues. Multiple times a day at the moment. Very frustrating.
Could you please explain where this X is. Perhaps some screen shots? I don’t understand how to deactivate this option to book over other meetings. That’s why I have it connected to my calendar to ensure that doesn’t happen…
Thank you in advance!
@Sean Marlin Could you please help me to find this X?
Screenshots would be useful please.
Thank you so much!
Hi @Jo971 - Thanks for reaching out.
Which ‘X’ are you referring to? Is this the one under Max Meetings or the Calendar Connections page?
Is there a specific meeting thats being double booked? Or all of your events?
If you’d like more help digging into your account, I can also recommend reaching out to our support team, they’ll be able to look over your account in depth to see what might be going on!
Hi David,
Sorry that was confusing. I was looking at this post where someone asked the same question. The response from the community manger including something about an X and I can’t find it. If you look at the begining of this thread you will see what I am talking about.
I watched the Free/Busy video. I dont think it applies as I do not want peopel to book over existing events but somehow they are able to do so.
So far it is happening with my 2 most used bookings links / events but it could be all of them.
Thank you
Hi @tocatlian - Thanks for sending these screenshots over!
Just to confirm, is this happening with all of your events? Or is this happening with one event type over and over again?
Let me know!
All events
Understood.
Something else you might want to try is disconnecting your connected calendars, then reconnecting them again. This allows Calendly to sort of refresh the connection and allow it to pick up any changes that may have occurred. Some users I’ve worked with have seen the issue fixed when doing this.
