Question

How to change Calendly default calendar reminder interval to match my Outlook default reminder interval?

A question at community[dot]calendly[dot]com/how-do-i-40/appointments-from-calendly-are-not-adhering-to-my-default-outlook-reminder-notice-2960

asks a question similar to mine, but I want Calendly to automatically set appointment reminders to 24 hours, as is the default interval for my Outlook setup.  How do I achieve that?

Hey @Jean-Marc - Thanks for reaching out!

Yes. You can set this up with a Workflow reminder:

  1. Go to Workflows and create a new Workflow, or use the reminder template.
  2. Choose the trigger before the event and set it to 24 hours.
  3. Select email, text, or both, customize the message, and save.
  4. Apply the Workflow to the relevant event type(s).

Alternatively, for a single event type: go to Scheduling → select the event type → More options → Notifications and automations, then add or edit the reminder.

Calendly’s reminders are configured independently from Outlook’s default calendar reminder, so changing Outlook’s default interval alone won’t automatically change Calendly reminders. Workflows let you choose intervals such as 24 hours before the meeting.

Thanks, @David!  Quick corrollary … I have a bunch of meetings that have gotten scheduled since I posted my question.  Is there any way to “update” all of those appointments at once on Calendly, with a longer notification duration?  This isn’t critical … I have already done that in Outlook … but it would be nice.  :)

Hi @Jean-Marc - Right now there is not a way to update them all at once, but this is feedback we’ve gotten before! I’ll get it passed along to the team.

Right now, the only way to update scheduled appointments is to reschedule them for the same date and time after making those changes. :)

Let me know if you have any questions!
