How to include meeting duration in the email notification to host?

How can I get the meeting length to be included in the email notification* that’s sent to me (host)?

 

*the email notification sent to the host immediately after booking. 

 

I already know how to edit the notification sent to the invitee. 

 

Do I have to create a custom workflow? Will that override the original notification to host, or would I then receive 2 emails for every new booking?

Hi ​@Myra16408  — great question.

Short answer: the default host booking email can’t currently be customized, and it also can’t be turned off. So if you want to include the meeting length in a separate message to yourself, a custom Workflow would be the way to do that — but it would be in addition to the standard host notification, not a replacement for it.

So to answer your questions directly:

  • Can I edit the default email notification sent to the host right after booking?
    Not at this time. The default host notification is automatically sent and cannot be turned off (see help center article)

  • Do I need a custom Workflow if I want different content, like meeting length?
    Yes — that would be the workaround if you want extra/custom information in an email to yourself.

  • Would that override the original host notification?
    No — the original host notification would still send.

  • Would I get 2 emails for every new booking?
    Yes, if you add a Workflow email to yourself, you should expect the default host email plus your custom Workflow email.

A small extra note: basic notification customization in Calendly is focused on invitee-facing notifications, and Workflow messages are the main tool for adding custom content/variables to emails and texts.
