Question

How to make Availability for Collective event types only look at one hosts availability?

I am trying to setup a Collective event type with multiple hosts included on every meeting yet trying to have only one primary host be the main Availability check and not every single host that’s included. This would be so the other hosts can decide to join or not but still have it on their calendars. In the event type settings under ‘Availability’, I feel like those other hosts calendars should have an option to be ‘X’d out to not look at their availability.

Hi @Ethan64280,

With Collective Events, Calendly will check the availability of all the hosts and attendees before booking the meeting. In this situation you have a couple options. You could set up a Round Robin event, if you are ok with hosts duties rotating between a defined set of people. You could also simply invite the other ‘hosts’ once the meeting is booked but not have them designated as cohosts within Calendly. Here is an article on how to add guests once you’ve booked a meeting → Adding Additional GuestsLast, you could always use a Meeting Poll first and then proceed with a booking taking into account the important calendars but not the optional ones.

Hi @Sean Marlin,

are you planning any other options in the near future to check the availability of just one host if there are several hosts in an event?

Hi @Stefan63257 & @Ethan64280 !

One workaround you can try is using the Contacts Page to book a meeting with a specific user. This will allow you to add additional guests or hosts and override any availability. This way, they’ll be notified and can have the option to join:
