I’m experiencing an issue with group events in Calendly and would really appreciate some guidance.
I’ve set up a group event (15 spots) for a class. When an invitee books, they receive the standard confirmation email with the “Cancel” link.
The problem is:
👉 When an invitee clicks the cancellation link from their confirmation email, instead of cancelling only their individual booking, it appears to cancel the entire event.
👉 As a result, all other attendees receive an email saying the event has been cancelled, which is obviously not the intended behaviour.
This is especially problematic for group classes where multiple participants are booked into the same session.
What I’m trying to achieve:
- Each invitee should only be able to cancel their own spot
- The event itself should remain active for the rest of the participants
Questions:
- Is this expected behaviour for group events in Calendly?
- Is there a setting that prevents invitees from cancelling the entire event?
- Is there a recommended workaround (e.g. disabling cancellations, using reschedule only, or handling cancellations externally)?
