I want to set up a system in Calendly where users can book up to 8 one-on-one sessions with my founder, but no more than that. I'm considering using Zapier + Google Sheets to track the number of sessions each user books.

Here’s what I’m thinking:

  1. When a user books a Calendly session, Zapier logs their email and tracks the number of times they’ve booked in Google Sheets.
  2. If they have booked less than 8 times, they can continue scheduling.
  3. Once they reach 8 bookings, I want to prevent them from scheduling additional sessions.

Is this possible? If so, how can I automate the restriction so that Calendly blocks bookings beyond 8? Would I need a separate integration for this, or can it be done within Zapier?

Would love any insights or alternative solutions!

Hi @Ariel Wood, this could in theory work although I can’t specifically troubleshoot Zapier workflows. I’m just jumping in to comment that with our Max Meetings feature you can limit total meetings by day, week, and month. Most users can achieve usable meeting limits combining Max Meetings and managing buffers. More on both here → Buffers & Max Meetings
