Question

Prevent Calendly from scheduling meetings first thing in the morning

I’m a sales rep (Eastern timezone) and start my day at 7:30a to accommodate my prospects’ availability in EMEA, so my Calendly availability is set up to support those early meetings.  What I want to avoid are situations where someone sets a meeting overnight for first thing that morning which is what happened this morning.

To be clear, I don’t have a problem with early morning meetings, I just don’t want a surprise waiting for me when I wake up.  I asked ChatGPT to draw up a flowchart to try and explain what I’m asking for.

Hi @Rob67778,

This is a feature I’d love to see as well. No love for last-minute early morning meetings. Unfortunately though, there is currently no way to set conditional minimum notice. It’s either all or none. Given I’m in a similar situation myself (also EST), I’ve just defaulted to meetings needing to be scheduled a full 12-24 hours before. Not always perfect, but scrambling isn’t a great experience for me or my invitees.

The only other solution I could think of would be to have two different meeting links perhaps - one you share with your continental customers and another your share with your EMEA customers. Continental has a reasonable minimum notice (maybe like 3 hours) whereas the EMEA one has more hours (18 ensures no last minute scrambles)?

I’ll definitely pass the feedback along to our product team - and cross my fingers we see this soon!

Thanks Jillian -

Creating 2 meeting links isn’t practical for my company, so can you share how you defaulted meetings to be scheduled “12-24 hours before”?

Is there a mechanism to keep me informed if this capability gets added to the roadmap?

Hi @Rob67778 - Events default to a 4 hour notice, but this can be changed to any time-frame you’d like. You can adjust this under your event settings here:

Maybe expanding the timeframe here can help prevent the last minute meetings as well.

@jillian and @David,

I am also interested in a feature like this. One thing that I might offer as another way to consider this for a simpler implementation. Rather than thinking about adding some complicated conditional minimum notice configuration interface/feature, could you possibly just unconditionally change the behavior to what I assume most people would want? The app already lets me set a range of business hours that I am ready to take a meeting. If I set that along with a minimum notice time I think it seems pretty reasonable that my declaration of “I would like N hours of notice” is just logically incompatible with how the current formula is calculated. If I start business hours and someone who was awake 3-4 hours before that time started they just get to skip giving me any notice? Can you just detect if the current time is outside of business hours and “snap” the start of the notice window to the opening of business hours for everyone’s calendars? I understand this would be a behavior change, but it seems preferable to have it just work that way for most people that know about these 2 settings.
