Product Enhancement Request — Zoom Calendar Sync on Reschedule

We've confirmed with your support team that when clients reschedule appointments in Calendly, the old Zoom meeting link remains on the Zoom calendar while the old Outlook event is correctly removed. This creates duplicate notifications and visibility issues for our team.

Current Impact:

  • We receive notifications for canceled Zoom meetings that don't appear in Outlook
  • Confusion when appointments show as rescheduled in Outlook but appear unchanged in Zoom
  • Requires manual cleanup of Zoom calendar after every reschedule
  • Affects client-facing and internal scheduling reliability

Request: We'd like to see Calendly handle Zoom calendar events the same way it handles Outlook—removing the old event when a meeting is rescheduled rather than leaving duplicate entries.
Alternative: If Calendly's architecture doesn't allow automatic removal, we'd appreciate:

  1. Clear documentation on using webhooks to automate this via third-party tools
  2. A recommended workflow for teams using Zoom + Outlook simultaneously

We understand this is a known issue under investigation. Could you provide:

  • Expected timeline for a fix
  • Whether webhooks are a supported workaround for this use case
  • Any account-level settings we might have missed

As requested, an effective workaround for keeping your Zoom Calendar in sync with Calendly is to use a third-party automation platform such as Zapier.

 

You can create a Zap that automatically cancels or updates the corresponding Zoom meeting whenever a meeting is canceled/rescheduled in Calendly.

The recommended workflow would be:

  1. A meeting is scheduled in Calendly.
  2. If the meeting is later canceled in Calendly, Zapier detects the cancellation.
  3. Zapier automatically sends a request to Zoom to cancel the corresponding Zoom Calendar meeting
