Rescheduling appointments using the override availability option

Hi,

I have been able to reschedule one appointment, however, I need to reschedule the same appointment again using the ‘override’ option (which I’ve previously been able to use to override my synced google calendar), and the override option is now not appearing like it did previously (I would need the override option available as I sometimes need to book clients in during times that are not shown as available).

I then tried moving the appointment within my google calendar, however, it did not override in Calendly.

I’d be ever so grateful for any feedback on how I can achieve this.

The web-based reschedule flow currently does not include the Override available times control, even though that control is available when booking a new meeting or scheduling on behalf of an invitee. This is a known limitation, and we’ve already got a ticket logged to enable override during rescheduling. Several users have also reported they can reschedule using override from the mobile app, which could serve as a temporary workaround.

 

Why moving the event in Google Calendar didn’t update Calendly

Editing or moving a booked event directly in Google Calendar will not reschedule or override the booking in Calendly. Rescheduling must be done in Calendly. This behavior is expected for rescheduling (edits made on the external calendar don’t change the Calendly booking).

 

Workarounds you can use right now

Pick the option that fits your situation best:

  • Use the mobile app to reschedule with override - if you have the Calendly mobile app, open the meeting and reschedule; users report the override control appears there.

  • Cancel, then rebook from Contacts with override - From the Calendly web app, cancel the original meeting, then go to Contacts > Schedule, pick the event type, toggle Override available times, and book the new time (even outside your normal availability or over busy).

  • Temporarily open the slot with a date override, then reschedule - Add a temporary date override in your event/availability to expose the exact time you want, complete the reschedule in Calendly, then remove the date override after.

I can confirm the APP works at rescheduling outside of the set availabitliy. It was also super easy with a tap of a few buttons. I am really glad I found this post, because that was driving me crazy trying to figure it out on Desktop!

I hope that this is fixed on the desktop version soon!

I tried on the iPhone app and it gave me an error: “The operation couldn’t be completed. (CalendlyKit.APIError error 1).

Meeting → Manage → Reschedule Meeting → Full Availability→ Click Time on calendar → Choose Time → Schedule Meeting → Error

Latest iOS 26.1. Latest app 3.3.2

Two things you can try here:

  1. Can you try uninstalling and reinstalling the application and see if you get the same error?
  2. Once reinstalled, restart your phone and see if you get the same error.

If the issue persists, I’d recommend reaching out to our support team with a video of this error so they can look into this further. You can either chat in with them directly, or email support@calendly.com !

I want to add my voice to getting this feature added to rescheduling. It would really help smooth out the experience for our team as we often need to book meetings and reschedules outside of our standard meeting limits.
