Rescheduling Events After the Start Time — How Can We Keep the Info and Set a New Time?

 

We’ve run into a recurring issue with Calendly and are hoping for a solution or workaround.

 

Our sales team uses Calendly to schedule appointments with homeowners. Sometimes, these appointments need to be rescheduled after the scheduled start time, such as when:

• The homeowner is a no-show, or

• Only one decision-maker is present, or

• They no longer have the full 60–90 minutes available.

 

When we try to use the reschedule link after the event has started (even by a minute), Calendly blocks the action and says:

 

“You can’t reschedule an event that has already passed.”

 

This creates a major issue because we now have to:

1. Cancel the event entirely

2. Re-enter all of the same information manually to create a new booking

 

This is inefficient, especially when our setters already collected detailed notes on the customer and project.

 

What we need:

A way to reschedule a meeting even after the original start time has passed, so we can simply select a new time without losing or re-entering the details.

 

Is there any way to enable this functionality, or a recommended workaround to solve this?

In this case, a lot of users will use one of two options:

  1. They use the Schedule Invitee Again button on their meetings page, this way it saves the invitee information when you select a new time:
  2. You can also select the user from your Contacts page, which saves the contact information so you don’t have to enter it when booking a new time: https://calendly.com/app/contacts/user/me
