I am booking lessons for candidates, and I would like to run some group sessions at specific times. While I can set up the group session, it does not reserve a slot in my Outlook diary unless someone books in to take the lesson (which they won’t do until I send out the link at a specific time each week). However, I also run multiple different types of 1:1 sessions, which are open for candidates to book at any time free in my calendar, and until someone books a slot in the group session, candidates see the time where the group slot would be in my diary as free, and they book in their 1:1 sessions over the top of it.

Can I set the group sessions to “hold/reserve” a place in my diary, without someone booking in first? Otherwise, my 1:1 candidates book out all the times, and then I cannot run the group sessions I have planned, or I have to manually set dozens of different availability hours in my sessions, which can become incredibly confusing for me to keep track of.

Yes this is something that users have reached out on before, since this there is not a way to do this through the Group event- Here are a couple workarounds you can do:

  • You can add a busy event to your calendar and set the group event to be able to book over it. This would allow the Group event to be scheduled at those times, but no other events. I put an article together on this you can read here:
  • You can adjust the available times within the events so that it avoids the times you’re trying to schedule the group event. Although this would take a little more work than the first option.
