Single-use links should reflect availability changes.

We are using calendly to schedule paid-for counselling and coaching sessions, this works well through the stripe integration and generally we are very happy with the ease of use and overall clarity of the calendly app. However... 

We also offer bundles of 6 sessions at reduced per session rates. To manage this we’ve resorted to using single-use links. The client will book a meeting titled ‘bundle’ at the reduced price of 6 sessions. We then send 5 free single-use links manually per email and the client can book those in their own time. While there is a manual step involved here and it would be nicer for this to be automated somehow, it works - using the single-use links we can rest assured only sessions that were actually paid for are being booked. 

The big problem arises when updating our overall availability, like releasing the next month of session slots. Single-use links are not tied to the general availability once they are being created. They take a static ‘snapshot' of the availability at the moment of creation. This becomes very, very annoying when availability changes and we have no way of updating the already issued and sent out single-use links.

For example - at any given time we might have 8 clients on bundles, which means they each have a number of open single-use links. As we now release the next months of session slots none of these  single-use links show that new availability! We are then forced to re-issue all remaining single-use links for all clients just to repeat the whole exercise the following month!

We really struggle to see the logic in this static snapshot of availability at link creation, what is the use case? It would seem much easier to simply have them connect to the availability like all other meeting types. And if there is a use case for this please, please, please calendly give us the choice whether we want single-use-links tied to the live availability to allow us to make changes without having to re-issue each link.

I think you make a good point here, especially with how your meetings are setup now.

However, I did want to mentioned that we are working on releasing a Meeting Package functionality that can better automate this for you and your team! Meeting packages let you sell a bundle of prepaid one-on-one meetings to your clients. Clients pay upfront and book their sessions over time using a unique link. 

This way, you can sell a meeting package, then your invitees can book the set number of meetings after purchasing the bundle. This will also reflect your live availability as well! You can test this out for yourself here: https://calendly.com/app/sell/offerings

Thank you for your response.

Yes I was aware of calendly developing the meeting packages. I was actually invited to beta test this about 6 weeks ago and I’ve sent in my feedback. It looks promising but when I last tested the feature it was lacking some crucial functionality, most importantly the ability for the client to book sessions in their own time. At the booking process was a daisy chain where the client had to book all sessions of the package in one go  -not very practical as most people don’t know their schedule months ahead. Also, if they’d accidentally close the tab they used for booking there would be now way of booking the remaining sessions - not even for me the administrator, clearly that doesn’t work. There was also no way of tracking how many sessions of a bundle I client had booked already. 

Testing the feature now some tracking has already been introduced. 👍 You mentioned that clients ‘pay upfront and book their sessions over time using a unique link.’ so that seems to be in the works as well... however it’s not working at the moment, I’ve just tested. 

These are the critical features that need to be in place for this to actually be viable:

  • Client receives an email with booking links & ideally a way to see how many sessions of a given bundle have been used
  • Admin also needs to be able to see how many sessions in a given bundle have been booked and ideally there should be an option to re-send the links for the open sessions of the bundle for clients that are forgetful or manage to delete the calendly emails. 

But there seems to be good progress and once this functionality is fully matured we’ll definitely switch to it over the single-use link work around. Looking forward to it.
