Using Calendly to schedule gaming sessions — time slots not showing correctly?

Hi everyone, I’ve been trying to use Calendly to organize gaming sessions with a small group I play with regularly. I set up specific time slots based on my availability, but for some reason, a few friends told me they either don’t see the same slots or the timing looks off on their end.

I’m not sure if it’s a timezone sync issue or something in my availability settings that I missed. Has anyone used Calendly for something like gaming events or group sessions and faced similar problems? Any tips on setting it up correctly would be really helpful.

Hi @Tahir75555 - Thanks for reaching out!

Do you have any specific examples of what they’re seeing? (Duration isn’t matching, same times aren’t available) You can also lock your timezone for these types of events as well: https://calendly.com/help/time-zones-overview#lock-an-event-type-to-one-time-zone

In a pinch, you can also use our Troubleshooting tool to see if you’re getting any particular errors as well: https://calendly.com/help/how-to-troubleshoot-unavailable-times-that-should-be-available#h_01J5ECSP8D62EHCKFFQXF9N12Y

Hi David, thanks for the quick response!

From what my friends described, the main issue seems to be that some time slots either don’t appear at all on their end or show slightly different timings compared to what I set. It does sound like a timezone sync issue, especially since a couple of them are in different regions.

I didn’t realize I could lock the event to a specific timezone, so I’ll definitely try that along with the troubleshooting tool you shared. That should help narrow down whether it’s a settings issue or something else.

Also, just as a side note, I’ve been organizing these sessions for casual gaming (including experimenting with modded games from sources like stickwarmods), so having consistent and accurate scheduling is pretty important for us.

I’ll test these fixes and see how it goes — really appreciate the guidance!
