This article is a deeper dive on some of the changes we’ve made to how you manage your Availability in Calendly. This is part of a broader suite of feature changes to your Calendly experience. User feedback was that folks were having trouble visualizing how individual Calendly settings were working together to define availability. It can get confusing when you have both a set schedule as well as different free/busy rules in specific event types all interacting. Let’s take a look at how some screens have changed. Your availability in Calendly is the combination of your set schedule, holidays, and busy times from your connected calendar(s). You can manage all of these settings on the Availability page. Before your Default Schedule and Holidays lived under Availability while your Connected Calendars were accessed via your account menu. Now everything lives in three tabs under Availability.

Default Schedule

Your Default Schedule can alternate between a list view and a calendar view

  • This is where you will also see date specific hours 
  • You will also see which Event Types this schedule is applied to via dropdown

Free/Busy Rules

Free/Busy rules (Book Over Meetings) can be updated at the Event Type editor in “Scheduling Settings.” It is a powerful tool to allow you to double book yourself when necessary.

You can click into a specific host to create rules to book over events on their calendar

You can type in the name of specific meetings that you wish to book over and offer as additional times to meet


 

Buffers

You will now see buffers reflected on your external calendar if a meeting is scheduled that has an associated buffer.

  • You will be able to delete a buffer from their calendar or from within Calendly. 
  • In order to edit a buffer, they will need to do that from Calendly. Modifications made only apply to the specific instance of the buffer and not the event type series.
  • You will now see buffers reflected in meetings scheduled within Calendly
