Scenario / Question

My Google Calendar is connected to Calendly, but my availability on my booking page isn’t updating. Events marked busy on my Google Calendar aren’t removing times from my Calendly availability. What should I check and how can I fix it?

Overview

Calendly only removes times from your booking page when it can check all relevant calendars for conflicts and those events are marked Busy. Ensure your calendars are shared with the connected account with read/write permissions and are selected under Check for conflicts. If sharing or selections were updated after connecting, reconnecting your calendar can resolve sync glitches.

Step-by-Step

  1. Confirm Calendly checks the right calendars for conflicts: Open your Calendar Connection settings and verify that the calendars you rely on appear and are selected under Check for conflicts.
  2. Verify Google Calendar sharing and permissions: In Google Calendar on a computer, open Settings and sharing for each relevant calendar. Under Share with specific people, add the email of the Google account you connected to Calendly and set permission to Make changes and manage sharing. This enables Calendly to see those calendars as sub-calendars to check for conflicts.
  3. Ensure events are set to Busy: Open the affected events in Google Calendar and confirm the event status is Busy. Calendly removes times when events are Busy, including all-day or multi-day events.
  4. Reconnect to refresh the connection: Disconnect Google Calendar in Calendly, clear browser cache and cookies, restart your browser, then reconnect Google Calendar in Calendly. If needed, try an incognito window and ensure your browser/OS are up to date.
  5. If you use multiple calendars: On paid plans you can connect up to six calendars directly. If you’re on the Free plan and rely on additional calendars, share those calendars to your connected account with the permission in step 2 so they appear under Check for conflicts.

Key Notes & Limitations

  • Calendars must be shared to the connected Google account with Make changes and manage sharing for Calendly to check them for conflicts. Read-only sharing is not sufficient.
  • Calendly cannot be shared to directly; calendars must be connected via the Calendar Connection page.
  • Only events marked Busy will block availability on your booking page, including all-day events. Free events will not block time.
  • Updating calendar sharing after you connected to Calendly may not apply until you disconnect and reconnect the calendar.

Related Questions (FAQ)

Q: Why don’t I see my other Google calendars listed under Check for conflicts?

A: They likely aren’t shared to the connected Google account with Make changes and manage sharing. Share them as described above, then return to Calendar Connection and select them. If they still don’t appear, disconnect and reconnect Google Calendar.

Q: Can I share a calendar directly to Calendly instead of my Google account?

A: No. You connect calendars through the Calendar Connection page. Calendly reads calendars that are connected or properly shared to your connected Google account.

Q: Do all-day events block availability?

A: Yes, if the event’s status is Busy. Calendly removes those times from your booking page.
