Many admins and owners (for tracking purposes) like to have their team members’ events all in one place. However, Teams do not offer one-on-one events… or do they? One of the first “tricks” customers often learn in the system is that you can make a Collective event type within a Team act as a One-on-One event type. How do you do this? Follow the steps below!Go to your Team → select the “New Event Type” button on the right hand side of your screen → and click on “Collective Event Type”. Once you are in the “Team Members and Location” section of the event type, add the one team member you’d like to be a part of the Collective event type. Note: If there are multiple team members selected, uncheck the checkboxes for those team members and only select the user / team member you’d like to be on the event type. I had a problem I was trying to solve, and I needed to create a unique solution.When I used to work in Account Management, I would sometimes need to facilitate meetings for myself or others on my team to be able to meet 1:1 with clients while we were attending an IRL conference event. We wanted to use Calendly to make booking our client meetings seamless and efficient, but the tricky part was how we could do this while we had blocked our calendars off for our conference travel. Since our calendars were blocked for travel to avoid booking any internal meetings, how would we be able to let Calendly know we actually were free to book meetings with clients while we were at the conference?Since you can’t be in 2 places at once and double-book your calendar, this is how we created a custom solution that worked for us. I needed to interview childcare providers, but wanted to do a screening prior to an in-person interview, so I turned to Calendly. Here’s how I did it:Made a posting on Care.com (it would be great if there was a native integration as you cannot share URLs through their email platform). Received applicants and exchanged mobile numbers with the most qualified providers based on their experience and background. Via text, I shared my scheduling page complete with custom questions to learn more and a Zoom location. The interview was booked via Calendly and we connected via Zoom. The interviews went directly to my work calendar (it’s the one I use most often), and the availability checked both my personal and work calendar to ensure they only took place when I was truly available. It was super simple and a great way for me to manage interviews outside of working hours without having people come to my home. A great feature that’s been recently added to the Calendly homepage is the ability to have AI create your events for you! Have you seen this button at all recently?This is our AI creation tool. Once you click this button, you will be brought to a screen where you can input a prompt, where our AI will create the event for you based on the prompt that you wrote!We even place some recommended events based on your previous prompts!

If you are an owner attempting to add a new user to your organization but have run into an issue, or, if you are a Calendly user attempting to join a new organization and can’t - you’ve landed on the right topic! 🤗Users:With Calendly, you can only be a member of one organization at a time, and it looks like you previously owned or accepted an invitation to join another organization.To resolve this, you can reach out to your current account owner to have them remove you from their organization. (I truly wish that we could make this happen for you - but only your current organization owner can!) Our One-Off Meetings feature is something that we often see confusion about when answering tickets on the support team. What makes it different than a one-on-one meeting? Why don’t you see it on the landing page with the rest of your event types? Why did the link go dark once someone booked it? Not to fear - I am here (to answer these questions and more)! One-Off Meetings are meant to be used when you need a single date and time open for a specific person. They offer a quick and flexible way to host a one-time meeting that doesn't match your regular event type configurations. When you set up a One-off Meeting, you can use key event type settings like location, hosts, timing, and more. “Calendars” and “Event Types” - what’s the difference? “Workflows” and “Event Type Reminders” - aren’t they the same thing?! Use this post as your guiding light when it comes to what is what within Calendly. We have a specific set of terminology and verbiage that you will run into when writing our support team, talking to other Calendly users and reading through our Help Center - so understanding it all will be of great use! Event Type: this is the meeting type (one-on-one, Group Event Types, Collective Event Types, Round Robin Event Types and One-Off Meetings) that you create so invitees can book with you.Invitees: these are the people (clients, patients, etc.) that book with you via Calendly.Connected Calendars: these are the calendars you sync on your Calendar Connection page so that Calendly can tell when you are busy/have conflicts, and so that Calendly can push your bookings to your calendar, externally.Booking Page: this is the page on which your invitees can book your event typ
So - imagine this: you are setting up an event that allows people to book a class. You are teaching other people how to use Photoshop - how exciting! I bet that you’d like to gain an understanding of how experienced each invitee might be with the software, what their goals are when taking your class, and more - right? I knew it! A Calendly Teams page is a shared scheduling page that allows multiple members in your organization to share their availability and allow others to book meetings with them. It is designed to facilitate team scheduling and collaboration.Events set up on a team page allow for more control and functionality, including the ability to automate tasks with Workflows. When I used Calendly for the very first time, it was from the invitee’s perspective. I was applying to jobs and found many hiring managers to be using Calendly to schedule interviews. It sure did make booking easy, breezy, beautiful - but I was left confused and without anywhere to turn for help, a few times, too.Once, I got an email telling me when my interview was and that it was to take place via Zoom, but there was no Zoom link included in the email. I wasn’t sure what to do - was I supposed to reach out to the interviewer or to Calendly support? Now, I’m aware that Calendly support cannot assist an invitee with a missing Zoom link and that I needed to reach out directly to the person I was meeting with. I wish I’d known that clearly and without a doubt, back then!What is one thing that you wish you’d known in your early days as a Calendly user or an invitee booking via Calendly? I am considering upgrading to a paid Calendly plan from my free - basic plan, but I am unsure about what plan to select and what I’ll get when I do. How do I make this decision?
I know you’re probably wondering “what’s the difference between Team events and Shared events?”. You can create the same type of events and the booking process is the same so what’s the main difference? Well, it depends on your scheduling needs. In short, shared event types are designed for quick collaborations with anyone in your organization while team events are designed for cross-collaboration. Shared events are ideal for ad-hoc meetings or short-term meetings. The great thing about shared events is that you don’t need an admin or the owner to create the meeting. You are able to create a shared event right from your Calendly account and add a colleague. For example, if you and another colleague are working together on a project and need to meet with an external client every week for the duration of the project, you can create a shared collective event type for you and your colleague. It’s not the world’s fanciest tip + trick - I know! - but it’s an important one. And I guess a bit of life advice too?It’s alright to not be available all the time… especially when you’re giving your time up for free.For me, this is super important when it comes to networking. I love connecting with industry peers, but it’s important to me that work and life get first dibs on my schedule. Networking will fit where it fits!To make this happen with Calendly, I use a 1:1 event type that uses my calendar availability and a super slimmed down availability. In my case, this looks like nixing Mondays, Fridays, any time before 9am and anytime after 4pm. Mondays are just too busy. Fridays are for focus. My mornings are for triage and later in the day is for wrapping things up.I also have workflows setup to remind participants 24 hours before and automatically thank them for meeting after as well. This helps ensure participants remember to show up and also gives them a chance to follow up after
