How Do I...?

Good morning, I use Calendly in a university setting, and I’m hoping that this is possible. I set up meetings in multiple different offices/places on campus, and I would like to be able to automatically notify the heads of those offices/spaces when a student schedules a meeting in their space. For more info, I have a question specifically asking where on campus the student would like to meet; this question has radio button responses, and I would like for answers to specific radio buttons to send out notifications to specific individuals. Is this possible? It should would make certain meetings a whole lot easier! Thank you in advance.

Hi everyone, I'm trying to create events, distributed in 4 daily sessions with a maximum of 20 people.Doing some initial tests the system works well and indicates that x people are missing to saturate the slot (15, 14, ...)But now that I've finished the tests, I would like to "reset" the counter of available spots bringing it back to 20... and it's damn difficult to do!! This function seems so obvious to me but I can't find it anywhere, not even on the web...Thanks for the reply

I have tried multiple times to have the appointment times reflect the time zone I am in but I just cannot figure it out. I have tried the auto detect time zone, this doesn’t work. People are booking in to my diary at 1am! I have me available hours (4pm-7pm) but the booking page is offering midnight onwards. Help!

Hello! We have a team of 10 individuals, and finding a time that we are all available for a meeting can be challenging.  Is there a manner in which a meeting organizer can send out a link to schedule a meeting and Calendly shows to all attendees only those times where all the attendees are available? Thank you.

Hi there - for some reason my link shows as “no times available for March”, though I clearly have set up the entire month and saved everything.  I have tried everything I can find on the site for help but nothing is working.  Any ideas?

Why doesn’t calendly partner with Instagram so we can use their Book Now button? I’m thinking of going elsewhere since all other major calendar services are listed and not insta!

I have an issue with the Round Robin from the backend settings point of view. There used to be a setting that allowed clients to reschedule with the original host, but now all of a sudden it's rescheduling with someone different and it's causing chaos and confusion. I always put the setting at “Keep original host” However, I noticed a few dozen instances where it kept getting scheduled to different team members when the client rescheduled. When I went into the Round Robin settings where I usually find the “reschedule preference”, it’s no longer there!  This is the specific setting I mean (that’s disappeared): What was happening before as of a month ago when everything was working fine:Client booked a call with Host #1. Client needs to reschedule, and find another time that Host #1 is available and rebooks the call. What’s happening now (once reschedule preference disappeared)Client booked a call with Host #1. Hi! I’m looking to embed Stripe into my Calendly, however my business does not read ‘guest customers’ (IDs that start with ‘gcus_’) properly -- we need them to be regular customers (or IDs that start with ‘cus_’) in order to use my service.  To my understanding, the only way that Stripe integrates is with the former, so we’re unable to use this product. Has anyone figured out or uncovered how I can turn a Stripe/Calendly purchaser into a Stripe ‘customer’ (not guest customer) that shows up as such and not just a ‘transaction’ within the Stripe dashboard?

I can see that this has been asked before many times, but I would also love to see a waitlist option and am looking at other platforms to see if this is something others offer..do we know if calendly may be offering this in the coming months?

Our setup is this:Calendly booking widget is embedded in landing pages The meetings booked through the widget are round-robined to our team We have Meta ads that take potential customers to the landing pages A Meta Pixel is configured for conversion event optimization The original page urls from the ads contain both utm_ parameters as well as Meta’s own ad set id parametersThe basics are all working:Meetings get booked correctly to our team The meetings have the utm_ parameters saved under Tracking IDs We are getting the booking events on the Meta pixel integration in Meta Ad ManagerHowever, we are not getting individualized campaign data sent with the Meta pixel events. Nothing from the utm_ params or the Meta ad ID params is coming back through to Meta Ad Manager. This is preventing any campaign or particular ad-set optimization from happening.Should we be seeing campaign data in the Meta pixel events? In the options for creating workflows, it would be helpful to have the ability to block off buffer time before and/or after an event - for example, “Prep” and “Post-Meeting” time of whatever lengths (15 min, 30 min, etc.) get added to the calendar when an event is added. Thank you!

You can see on the left, I have open hours on Wed 2/5. However, no matter what I do, I can not get that to reflect on the booking calendar on the right. 

Hi — In my event description, I have include a hyperlink to a resource I’d like to share with the invitee. When the invitee books the event, Calendly creates a Google meeting that includes a verbatim of the event description — but strips away the hyperlink to reveal a 200-character URL. Anyone know a way around this without just removing the hyperlink altogether?  

Is it possible to change the booking page view from month to week?  What I want is a weekview with all days of the week and the available timeslots.Is it possible to embed Calendly on a individual Lightspeed page? I can only add a custom code in the website settings which will apply to all pages. What works is a floating button on all pages or an url in the menu links. 

I’m setting up calendly to offer paid one-on-one coaching sessions. The initial set up was very smooth and easy including integration with zoom & stripe but now I’m hitting some issues.  As cancellation policy I would like to offer clients the option to rebook a max of 2 times and only with say 48h notice so there is enough time for the slots to be filled by someone else.  Calendly options on that front are very much lacking, I’m not able to enforce any limitations on rebooking - neither by time (only allowed 48h before the meeting) neither by amount. This essentially means I client could constantly rebook and then change their mind last minute again. Or I have to drop the included ‘rebooking/cancellation’ links and manage it manually - which is what I was trying to avoid of course and the whole reason for signing up to calendly in the first place. Please advise if there are any ways of achieving the above and/or notify your developer team to integrate such features - I’m sure ther

I want to use Calendly to email 10 different clients saying “we should meet!” And suggest 3 available times for each. However, there are two problems with the methods I currently know. (1) once I’ve suggested times to client A, I have to manually keep track of those time slots to prevent me from offering those slots to client B. (2) I could send each of these as one offs and block the times, but if the client ignores the email then the times stay blocked off forever.Do you support any kind of automation that would allow me to suggest available times, based on some parameters (including that I haven’t already suggested these to anyone else), and basically have a button in my email that will pick these for me as we’re sending them out?

I need to determine a customer’s distance from my store when scheduling repair appointments. My trip charge will be based on 2 distances, 15 miles or less OR 30 miles or less. I would like to auto calculate the distance based on the street address they provide on the scheduling form. Is their an feature or integration that will allow this?

I sometimes need to book a Calendly event that ‘shouldn’t ‘ in theory be bookable.for example,that’s within the buffer zone of an existing booking,or outside my set available hours,or already has an event booked on my Outlook calendar (ie not booked thro Calendly).So I make the changes that should make the event bookable, for example, I reduce the buffer zones or change my availability or mark as free the Outlook event… and then I wait, and wait, and wait, for the changes to take effect and for the slot I need to show up as free.I refresh over and over, but the troubleshooter still shows the slot as ‘calendar’, or ‘buffer’ or ‘duration’, for ages, then suddenly it’s available. Is there a refresh interval ? How does it work?  In the meantime I have to sit and watch it so that I can book it the moment it shows as free, ie so no one else can book the slot before I do. I didn’t time it but this evening I think it took about an hour, usually it’s more like 5 - 10 minutes. I have a standard

HELP!!!  All of a sudden my Calendly calendars are not synching with my Outlook and Google calendars? Also, my links are appearing blank when someone tries to book a meeting. This is a disaster! Is there a bug out there? What do I do??? 

I would like to push my scheduled Calendly events to different add-to calendars based on event type. I upgraded my subscription from the free - basic plan because the Pricing Page  said I’d be able to connect up to six calendars. Why can’t I do this? 

Hi everybody,I’m about to finalize my Calendly. I have connected it to Stripe and my prices are in CHF. When I try to connect one event in Calendly with the right price in Stripe, Calendly does not offer me the possibility to choose CHF…  I have the Standard Plan formula Hope someone can help.  Thanks in advanceGrace

For one of our Event Types, we’ve set a buffer time of 1 hour after and a Daily Max of 2, but neither of these seem to be working. Is there a way to talk with Calendly to fix this?
