How Do I...?

Our AI notetaker, Jump, does not show up into teams meetings unless manually added into meetings that are scheduled through Calendly.  Do we need to request an integration to add this in or is there a setting that we can turn on to have it added in automatically.

Hello,My team and I use Calendly to schedule student appointments for advisees. We have multiple event types like, New Student, Returning Student, Walk-in, etc. We would like to know if there is a way to quickly see the number of slots left in a date range for a specific event type. For example. Can I see how many more places on my calendar a students could book a “New Student Appointment” between now and August 1st? I don’t need the specific times, just the number of available times with the current settings and holds.I know I could open my scheduling link and count them individually, but that is a lot of days, and a lot of times… Thanks for your help!

Hi everyone,where can I set the option that others can only book times with me at least 36 hours in advance so I can avoid, e.g., that someone books the next hour, even if the slot is still free? I simply need more time to prepare etc.I know this is possible in Google calendars, but I am using outlook. Don’t want to switch to GMail.Thanks.

I’m new to Calendly and need some help with my setup. I’ve connected multiple calendars, but I can’t find a central view within the app to see all of them at once. Additionally, I noticed that a one-off meeting I added isn't appearing in my Calendly 'Scheduled Events.' Is there a way to sync these? Lastly, does Calendly have a feature to block off time without needing an external attendee?

You closed my first thread so I’m starting another one.I spoke with many other Calendly users who I personally know in person and through work, and literally EVERYONE of the think it’s a bad design to not show time display option clearly.I already said it but here it is again, imo you have two very easy fix:Always show am / pm next to the time, regardless of the settings. It just doesn’t hurt to be extra clear. Move the “am/pm 24h” toggle outside of the “Time Zone” drop down list so that clients can see it without any action. Just move that damn thing out!! Look at this example below, it literally takes an UX guy 10 minutes to verify and design, and 10 minutes for a junior, heck perhaps an intern to implement! Hi, Everytime I think we are at the stage of fully utilising Calendly as our sole meeting booking process there is another road block. It’s very frustrating. We are at the stage of testing all meetings booked through calendly, either by clients booking themselves or us booking for them using the ‘book now’ feature.In our testing we are also reviewing our CRM led re-confirmations and reminder SMS we send clients and attempting to use Calendly for the simpler integration and automation.However, we’ve discovered, and I’ve read further here, that if the meeting is booked by us using the ‘book now’ function there is no way the system will send SMS to clients, defeating the whole point.Can you please confirm if a resolution to this is:on the development roadmap if so, the likely timeframe Thank you.

All of our appointments would be in the USA and the country code (flag) for the phone is not automatically going to the USA 1+ etc. It indicates to clients a phone formatting error, rather than asking each one of them to modify the country code is there a way to fix this formatting? Also, tried to book an appointment myself as a test and changed it then it automatically went to another country flag which then i had to change again. Thank you

Hello!I’ve noticed that when someone in my team reschedules a Calendly meeting directly in Google Calendar, using the bi-directional sync feature, then the Zapier automations don’t for that meeting.For example, I have an automation in Zapier that uses the Zoom trigger “New Cloud Recording”. It works perfectly when a Calendly meeting is rescheduled through Calendly. However, when the meeting is rescheduled in Google Calendar, even if the team member records in in the Cloud, the automation doesn’t get triggered.Anybody knows why this is happening?I would appreciate if this could get fixed, because the bi-directionaly sync feature is amazing, it’s much easier to reschedule a meeting directly in Google Calendar than in Calendly, but right now me and my team cannot use it because it breaks this critical automation.Thanks,Ángel.-

As admin, I’ve created a managed workflow -- send booking confirmation via text.  I’ve applied that workflow to every managed event type for the organization.  When I go into any managed event from my admin profile, the workflow shows up in the notification sequence.However, when examining the notification sequence from the team member perspective, the managed workflow does not show up, even though it has been applied.Is this a bug, or am I doing something wrong?

Outlook keeps taking over and my typing creates calendar appointments- Could Calendly be causing this issue?

Je n’ai plus accès au calendrier pour planifier . J’ai réactualisé ma page internet. Au début cela fonctionnait , mais maintenant je n’ai plus aucune donnée lorsque j’utilise les lien s de planifications ou replanifications.Comment résoudre ce problème sur mon navigateur. J’utilise Calendly sur mon ordinateur MacBook Air . Merci pour votre aide.  

I use Calendly for managing Sales Calls. I have a Team Event with several Sales Representatives in it, and when a prospect books a call it gets assigned to one of them. In the Team Event, I only have the next 4 days open to book calls, because I’ve noticed that when prospects book a call more than 4 days since they saw the marketing they arrive to the call too call and end up cancelling.The issue that I’m running into (that is making me lose a lot of time) is that sometimes a prospect writes to the Sales Representative before the call because something came up and they need to reschedule. But they want to reschedule on a date that is not yet open on the calendar because it’s more than 4 days ahead…So when this happens, the Sales Guy writes me, and I have to go to the Team Event, change the Availability from 4 days to 7 days or whatever, then reschedule the call myself to the new date, and then change the Availability back to

Hitting a roadblock and could use some help. We have a spa event which includes 3 event types to register for...botox, facials, and chair massages. All event operate during the same time period 11am-3pm. I need to set my calendar up so that people can register for each service but without blocking the time out for all day. In other words if someones picks 1pm for botox I still need 1pm available for facials and chair massage. Please help and THANK YOU!

Problem still exists with the US code inserting a 1.How does Calendly notify clients that something is wrong?How does Calendly notify clients when a problem is fixed?Is there a link we can access to see status? Is there a trigger we can set to insure we get an email? 

Hello, I would like to know if you can help me configure the following setup. I want to show my clients available time slots only between 4:00 pm and 8:00 pm, with meetings lasting 20 minutes.Ideally, I would like users to see only the closest available time slot instead of all possible options. For example, if the meeting duration is set to 20 minutes, the first available slot shown should be 4:00 pm. If the current time is 6:14 pm, then the user should only see 6:20 pm, provided it is available; otherwise, the next closest available slot should be displayed.

I wasn't aware that this cost anything. I'm just trying to get my disability paperwork done correctly and I'm having trouble with motivation and concentration so my advocate suggested this. The problem is that I have no money at all. I don't even have a debit card.

new appointments are not going through because the 1 is missing. Someone commented that Calendly is aware and working on it. I used to get texts or emails to notify me of problems and resolutions. Why do I not receive these notices anymore? 

I would like to create a managed event for a round robin meeting type, but this does not appear to be supported. When I create a team event using the round robin format, I cannot determine how to add workflows. I first attempted to use Managed Workflows, but the correct round robin event type is not available for selection. I also cannot select any workflows associated with the individual hosts. How can workflows be created or applied to round robin events?

Hi everyone,I rely on Calendly heavily for scheduling client calls, but I’m struggling to find the right balance with buffer times. Sometimes meetings run longer, and other times I end up with too much empty space between calls, which breaks my workflow.How do you personally handle buffer times between meetings? Do you use different buffers for different event types, or is there a smarter way to manage this without constantly tweaking settings?

How do we permanently change these options to what our company preference is? Every time we use Calendly we have to change these defaults.  We just want to use Event Name in the title and Event Description in the body but have found nowhere that we can set our internal preferred defaults. Is this an option and if so, where does one find it?  Because this does not work for us and requiring this to be changed every time is not good GUI. 

I am facing a recurring issue with the Zoom and Calendly integration. We use Calendly to allow clients and prospects  to book sessions  Zoom links are not being generated as expected. Literally no one can use the Zoom link. These are all people from different walks of life - so it must be a Calendly issue not a Zoom issue. Despite  reintegrating Zoom with Calendly, the problem persists. As a result, I’m having to manually  send Zoom links, which not only disrupts our internal data tracking but also significantly impacts the client experience. This issue has been ongoing for some time, and although we’ve reported it before, no resolution has been provided. It’s becoming increasingly frustrating and is affecting our operations. I have seen posts about this but nothing that resolves it. 

I want to create zap Zapier that will populate Docketwise when a new client consultation is scheduled.  I don't want everyone who schedules a meeting to be created as a contact in Docketwise.  Just the types of consultations I designate.  How do I do this?

How do I set event to all request for appointment but doesn't schedule the appointment until I have approved the request?
