How Do I...?

Hey everyone, We’re setting up a Calendly round-robin link for our onboarding team and what we want to happen is whoever is booked via that round robin is also made the Hubspot deal owner. Any advice on how to do this? I assumed it possible but after speaking with some other team members I’m doubting. Thanks,Ryan

The Group Event is how we schedule our candidates for phone interviews. The recruiters call the candidate within the window. I’d like to make the Group Event also be a shared event. Round Robbin allows one candidate to rotate through the hosts (we’ve done this before, but at the time it was only the tradition setting where we’d set a timeframe for a call and an interval of time). So I’d like to do a Group Event + Round Robbin Event. Is this possible and if so what is the workaround to get to it?

Hi, I’m currently using Calendly to allow mentors to share their availability and let external users book mentoring sessions. Each mentor has created their own Calendly account, we have configured the scheduling settings together and embedded in our website Since our business model charges a fee per mentoring session, it is crucial for us to track when a session has been booked. However, with the free plan, we are unable to capture this information directly on our platform. I am considering upgrading to the Standard Plan and would like to confirm whether it provides the necessary features to track scheduled events for multiple mentors. Specifically, does this plan offer a way to retrieve and centralize booking data across different accounts? Or would we need to consider the Teams Plan for this functionality? Thank you in advance for your help! Best regards,

Hello:Is it possible to show my availability with a potential client without giving them the ability to book a session themselves? It would be like grant them the ability to view when I’m available and not to edit it...

My subscription ended last week and It's been 2 days that I'm trying to make payment for my subscription but it’s getting declined every time from every credit card.This is Very URGENT to me. Even after many mails I haven't Heard back from your team which shows a lack of speedy service from Calendly’s end. 

I have a standing event type for a training that I do. It’s set up as a group event so that once someone picks a time, others can sign up for the same time and join in on the training. Of course, I have a couple days minimum notice required so I can make sure I’m available for it.However, once the meeting is actually on the calendar, I would love to allow people to sign up for it right up to the last minute, or perhaps cut them off a half hour ahead.  Right now the event shows up as full once my minimum notice time passes, even if it actually has 20 slots open still.Is there any way to allow additional attendees to an already-scheduled event to skip the minimum notice?

I am trying to setup a Collective event type with multiple hosts included on every meeting yet trying to have only one primary host be the main Availability check and not every single host that’s included. This would be so the other hosts can decide to join or not but still have it on their calendars. In the event type settings under ‘Availability’, I feel like those other hosts calendars should have an option to be ‘X’d out to not look at their availability. 

HelloI cannot reschedule an appointment by transferring it to a member of my team.When I click on "Reschedule," I am taken directly to the page to select a new time slot without the prior step of reassigning the appointment via Round Robin or assigning it to a specific team member.It seems as though I am the only person on the Round Robin setup. I cannot assign the appointment to myself or to another organizer. I am the account owner, and this issue started about a week ago.Before that, everything was working perfectly.

I’m trying to connect Google Calendar to Calendly. I followed the steps in this video https://help.calendly.com/hc/en-us/articles/223193288-How-to-connect-your-Google-Calendar but it’s not adding a google meet link.  I did noticed that when I select on connect to calendar, I do not have all the options as there are in the video on slip 8 of the video and about half way through. Everything else looks good. I’m using the free account. Does this  matter? 

I need to allow folks to book on my calendar for a variety of meeting types and lengths, but limit the overall amount of hours booked (inclusive of several meeting types). I also need to have separate booking options that are not limited in the total number of hours booked. Right now, I can control the total number of hours booked for an individual meeting type, but not for a group of meeting types or globally. Here’s my situation as an example:I want to offer up to 10 hours of office hours time per week to allow me to still have time for my other work. However, students might need 15 minutes, 30 minutes, or an hour. I want them to be able to choose to book however much time they need, BUT I don’t want to have more than 10 hours of office hours a week show up on my calendar.At the same time, I also need to be able to have booking options for colleagues, which I don’t want to limit.Currently, I can’t determine a way to do this in Calendly, and even though I’ve been a user for a long tim

I reset my available hours - Calendly marked them as saved and they are correct in my Availability Default Schedule page - but the old hours are still showing as available when I send my link or “add times to email”. I refreshed the page several times and also logged out of Calendly and back in. It is still not working. Any advice? Thank you!

Hi there, I use calendly quite a bit for personal/business meeting scheduling but I want to use it as a system for fitness studio booking.My requirements are: - have a booking page with defined events (they are repeated every week)- all events should be visible on one booking page- where teacher and number of empty slots can be displayed- once it fills up it should not be bookable- ability to take paymentsI think I can achieve most of these things with calendly but I’m not quite sure how to get to the layout I want (attached). Is this possible in calendly?Thanks,

Our Client Success team consists of 8 Implementation Managers (IMs) and 16 Client Success Managers (CSMs), with each IM/CSM combination being assigned to specific clients for kickoff calls. Due to the variety of possible IM/CSM pairings, we currently have 108 unique meeting links for scheduling these calls. While it is possible to limit the number of calls per individual link, there is currently no way to group similar event types together, such as the "kickoff call" events, to limit the total number of calls scheduled for each unique IM/CSM combination. Hey there,I have an event that many intervees could join in in different time. But I noticed that sometime some of my intervees would be canceled by myself and in fact I didn’t do anything to their sign-up. How could I solve this problem? Jen

I’m a bit confused, and hoping someone can help...Currently I have both email notifications AND workflow email reminders set for my events. Does this mean people will get two sets of reminders? If so, should I be deleting the event email reminders?Thanks! 

I use Calendly to teach online classes, and my invitees have a bad habit of deleting their calendly booking confirmations. I have workflows set up with reminders, but the workflows do not (as far as I can tell) allow the inclusion of the (for example) Teams link the invitee needs to get into the session.So inevitably I will be 5 minutes into my class when I get a panicked phone call from a student about how they can’t get into the class, and I need to scramble to get them their teams link.Is there any way for me to get the invitee the link they need to join my meeting without:A) Cancelling their booking and rescheduling them (This wouldn’t work once my session starts anyway, afaik)B) Sending them the links via an email or other message outside the Calendly ecosystem? Alternately, if I can include the Teams link in my Workflow reminders, please let me know how. Thanks!

I am currently working with a client who operates a private taxi service, allowing customers to schedule their own appointments. As I often do with clients, I am recommending the use of Calendly to streamline appointment management. Given the nature of his business and his default office location, I’d like to configure Calendly to automatically factor in travel time before and after each fare, based on the pickup and drop-off addresses provided during scheduling.Is there a way to integrate Google Maps or Apple Maps with Calendly to calculate and account for travel times dynamically? This would help ensure accurate scheduling while maintaining sufficient time between rides.

Hi if I move a scheduled call in my google calendar will it automatically update the zoom link and resend to the client?

I’m a freelance tech consultant with multiple clients as well as my own practice.I want to be able to do the following:Set up meeting types with my own branding and my own email address. No problem, this is the easy case and I’ve got it working already. Set up meeting types with a client’s branding from the email account I’m provided by my client to use within their Microsoft O365 instance. Set up meeting types with a client’s branding from the email account I’m provided by my client to use within their Google Workspace instance. Easily select these meeting types or even better, configure defaults based on the specific email account I’m logged into when sending an email. Not pay a crazy amount. If this is solvable, it’s definitely valuable, but MS and Google have competing (less good) calendar tools that are free with these client accounts which is why I can’t get them to pay for my calendly directly and that I’ll have to suffer with if the cost is too high for my one person shop to af

I am trying to create routing forms between an internal sales team and an external sales team. It would be a real help if there was a way to have a way to change the colors of routing forms as well as the ability to upload a banner or a way to have a logo on the routing forms for customers to see. 

My colleagues can set a weekly limit but I can only set a daily limit. How can I get access to the menu that has the weekly limit on it? Mine doesn’t.
