I want to create a pre-call email sequence in Calendly, to prepare prospects for the sales call.To do that, my plan is to create a Workflow with several emails that are sent a T-X hours before the call.For example: Email 1: 43 hours before the call Email 2: 36 hours before the call … Email 9: 1 hour before the callMy question is what happens if someone reschedules.Imagine a lead reschedules 2 hour before the call because something came up, and the new date is 3 days later…Will he receive the whole sequence of emails again?
Hi Calendly team!I wanted to share feedback from a user who had a frustrating booking experience on mobile.She was trying to schedule a call through Calendly. After selecting a time slot and filling out the whole form, Calendly told her that the selected time was no longer available (because another user booked it right at the same time).When this happened, she was sent back, but then had to fill out the entire form again. And when she tried to go back, the flow got stuck and she couldn’t move forward or backward.I understand that time slots can disappear if someone else books them first, but ideally Calendly could improve this flow by:Reserving the selected slot temporarily while the user fills out the form Preserving form data if the chosen slot becomes unavailable Offering a clear “choose another time” path without restarting the whole process Making the mobile back/forward experience more robustThis kind of friction is especially costly when the booking is part of a sales or consul
I recently rescheduled a meeting but I didn’t receive a confirmation in email. I didn’t have an account when rescheduled the appointment so I wonder if there is a way to check the appointment with an email address.
I have a workflow for a group event that sends an email that includes the total invitee count. However, the number displaying (37) is higher than the actual limit set on the meeting (35 attendees). The invitees count number also doesn't add up to the amount of cancellations on the event either. Why is it displaying something higher and how can I ensure that the workflow is sending the correct number?
Hi, I’m sure you get asks like this a lot. I wanted to provide my use case.I currently offer paid group sessions via Zoom, up to four students each time slot. There’s no sense of a “cohort” in these sessions, so Calendly is offering a lot of flexibility for folks to sign up one week but not another, or to change slots to accommodate their scheduling needs without involving me. That’s all working great for many of my customers. Thank you!There’s another set of customers who really wants to have their calendar figured out months in advance. They want to pre-register and are willing to pre-pay for probably 15-18 meetings at once within certain time ranges. They want to lock their seat for that time slot down in advance. Outlook is not syncing to my personal microsoft email account - i have already troubleshooted via the BOT and have been waiting ages for a human to connect with me to support resolving this issue. Any tips beyond the obvious troubleshooting please - the connected calendar IS the right email account (I do have another email account which is a work account but that is not the calendar which is on the linked account under connections). I am a longtime user of Calendly (3+ years) and would like to BEG that a recurring meeting feature be offered to users on the client-facing end. I am a voice teacher and use Calendly to schedule recurring lessons that happen at the same time every week or every other for each student. Currently, I do all the scheduling myself because it takes so long to sign up for each individual session that I find clients don't do it and I lose business. Instead, I lose that time exponentially more so because I am doing this for my 25+ clients and then have to complete captchas because Calendly thinks I am a bot. Other platforms like acuity:scheduling offer this feature but I would really like to keep everything on Calendly since I overall like the features. It would be so much easier to be able to allow clients to select a recurring time and the frequency (every week, every other week, every month, etc.) on their end. It would save me and them so much time and would support me and my business. PLEA

We have a group calendar to book meetings with external customers who may be coming from anywhere in the world. We have team members who work specific days in their time zone for these meetings to ensure there are a few days/week that will suit anyone. The availability works great and when viewing the calendar I can see everyone’s slots to book. However, many days are only available outside of working outs (e.g., 9p-5a). Is there a way we could hide available slots that are outside a timespan for a certain booking timezone? I’m worried a customer might try to book, and click on a few days where all the times are awful and give up.

Hello All! I am brand new to using Calendly AND STRIPE! So, with that said, here is my problem.I am trying to get clients in as a Twin Flame Coach, and I have 3 different “packages” to have them select from, my issue is how do I get them to book for the one they want, and how do I get them to get to Stripe to pay ahead before the meetings? I am stumped and confused. I’m not a huge techy person, but here I am trying to utilize it for a business. 6 months ago someone else posted this topic but it was closed. You referenced a new feature and closed it, but it didn’t solve the problem the user was having (although the feature referenced was absolutely great and necessary). Here is the topic - I couldn’t figure out how to reopen as none of it was addressed with the feature offered. Btw - love Calendly and love the notetaker functionality. Previous Post:Calendly [notetaker] leaves my meetings when we do breakout sessions, and then when we come back from breakouts the rest of the meeting doesn’t get recorded. We need a way to either ask Calendly to remain in the meeting during breakouts, or to instruct it to re-join the meeting when breakouts are over. Additionally, it would be nice to have a way to have Calendly join a meeting that isn’t on my Calendar. (Ad-hoc meetings)I say that both of these issues are should still be on the backlog. The notetaker/breakout session issue and the coming back from breakouts is more of a priority
Let’s say over the last few weeks multiple people have scheduled meetings with me. Some scheduled 2 weeks out, some scheduled yesterday. Today all those people have a meeting with me. I would like a text message to go to all of them and say, we look forward to seeing you at today’s meeting at XYZ time. Here is the link… That text should go out at 8am, even if their meeting is at 4pm. For this 4pm example, they will get another text at 3pm reminding them of the meeting. There is a feature of reminding someone 24 hours before, but that doesn’t really help as people often forget after they go to bed. Also there is a feature of reminding someone multiple hours before (example: 6 hours before), but if their meeting is at 9am, then they will get a text at 3am… which is not good.
Can I customize the information in the new link details with a free account? It is only my first name and part of my email name. I would like to change the name that is included in the meeting link.

Can the Notetaker recap emails be sent to attendees automatically? I’m not seeing an option in Workflows.
So many comments on here about this topic. Calendly replies “not available at this time” and closes the chat. Why? When? I keep telling you guys that we’ll leave and go elsehere for that function. I’ve taken out an account at Acuity that does a version of it but I don’t like having to use Zapier to connect my MS Teams there. I’d rather use Calendly but the contiguous adjacent scheduling function, (allowing clients to book in a fanning out manner from the first meeting booked in a day so there are no gaps) is too important to me! Anything coming soon Calendly? Going once, twice….

Hi, I’m sure this has been asked before, but there has to be a simpler way of enabling conditional location availability than via routing. Here is our use case: Financial Advice firm with 7 advisers, many of whom have 1-2 days per week working from home and the rest in the office. They are availabel for remote meetings all week and in person meetings in the office. We have 5 different types of meetings - Initial meetings, plan presentations, review meetings and catch up meetings. All of these require varying levels of pre-work so we must retain these to apply different booking rules to each. We currently have the 4 admin managed events. I’ve now been playing around with creating an additional 4 managed events for these meeting types and separate availability profiles, but for remote only meetings. Fine. Then I’ve realised I need to create 4x7 = 28 different routing forms to enable clients to book meetings for:the right adviser the right type of meeting the right meeting location then f
When a client books a meeting on my Calendly and pays for it in advance, but then needs to reschedule, are they able to reschedule for free? Or are they asked to pay again?What about the new meeting package option? I’m afraid to try it because I don’t want to end up manually rescheduling folks.
