My link that I’m sending to people is not working and is producing an error message.

Hi Calendly Community,I’m trying to set up automated email reminders for external clients (not in my Calendly org) using Workflows, but the emails aren’t sending consistently. I’m on the Standard plan with Google Calendar integration.Details:Setup: Calendly Standard plan, One-on-One event type, Google Calendar connected, notifications set to no-reply@calendly.com. Issue: Workflow configured to send a reminder email to external clients 24 hours before meetings. Some clients receive it, others don’t (e.g., Gmail vs. Outlook). Steps Tried: Set up “Email Reminder to Someone Else” Workflow in Event Type settings (June 28, 2025). Verified email addresses in booking form (no typos). Checked Workflow settings: trigger is “Before event,” recipient is “Invitee email.”

Bonjour,  Une de mes clientes a reçu un rappel SMS de notre rendez-vous en heure CET (Heure Normale D'Europe Centrale) et non en heure française.Elle est donc arrivée 1h en retard et je n’ai pas pu honorer notre rendez-vous.Comment modifier ce paramètre afin que je ne perde pas des rendez-vous en cascade ?Merci de votre aide :) 

When making a Single-use link from one of my three meetings, I get the dropdown options for the date range, and minimum notice. The date range works fine with overriding my meeting options, but the minimum notice option will revert back to the meeting value seconds after I select an override value.Normally I reserve a 48hr (2 Days minimum notice) on my meetings. Occasionally, like today I have to send out a custom one-off for a client wanting to book last minute, which I have authorized this one time, but this minimum notice keeps reverting back to the 2 days main setting when I choose 0 day, or even switch it to 2 minutes.I still need the meeting features like payment system, and questions I have for the meeting booking setup which is why I’m not just making a separate generic meeting for this.The only way I’ve gotten

Hi everyone,I’m experiencing an issue with my Calendly setup. When I share a one-time link for scheduling, it shows some unavailable times as available for booking. However, when I use my regular link, the availability is accurate.Has anyone else encountered this problem? What could be causing the discrepancy between the one-time link and the regular link? Any insights or solutions would be greatly appreciated!Thanks in advance!

Is there any way to use templates when zoom integrates with Calendly? Specifically, i would like the zoom link that Calendly send out to require registration.

I am the owner of a practice and I have multiple team members each member has their own calendar request line so that people can choose them based on their schedule openings but each charge needs to come back through the company and I am connected through stripe and PayPal and when I go to connect their links to stripe or PayPal it is not coming up for me to add. I do not understand why not. It is the last thing I need to do in order to make this live and get it out there and it is VERY FRUSTRATING not having this option open up for two of my team members! I NEED HELP FROM A HUMAN BEING! 

Does anyone know whether the number of permitted characters in an internal note within the event has been reduced?  I have a screen shot of a now deleted event with well over the allowable 165 now permitted?

Does Calendly have a feature to prevent clients from cancelling a session within 24 hours policy. Desperetly need this feature. Is this too hard for Calendly?

We want to be able to bulk add hosts to event types whenever we have new staff join.  Why is there no bulk uploader or manager for events.  For example: User A is a part of 15 Calendly events and 3 teams that they manage on behalf of an advisor.User B is joining the team and we want to add them to all 15 events and 3 teams. Currently we have to go one by one into the events to add the new user.  Is there a better way?

Will you ever implement campaign workflows specifically for prospects who have opted in to receiving communications from me?For example, if I enter the name, email, and phone number of someone who inquired about my services, would it be possible to set up a workflow that sends an email and text campaign over a 7-10 day period to help schedule appointments? Right now, I manage this manually, which is time-consuming, though still more efficient than calling each individual.Additionally, do you have plans to incorporate an AI assistant that could engage prospects via text/email/phone to assist with booking and answering questions in the future?

I have my calendly set up for  different type of events.  Three of them are 1 hour in length and 1 is 30 minutes.  When I set the duration of the meeting for 30 minutes or 1 hour, that also sets the time the prospect booking the appointment can choose to an even 30 minutes or 1 hour schedule.  I would like to offer a client the ability to choose a 7:30 time for 1 hour, but cannot find a way to do that except for setting the duration for all the event types to 15 minutes and putting the time expected in the title of the event.  This causes some confusion though when the client gets the auto reply confirmation saying they have a 15 minute time on xxx day at xxxx am/pm.Is there a way to set the available time selection to 15 minute increments for the client but have it reserve 30 minutes or 1 hour on my calendar?

Hi Team,I have two scenarios that I’m hoping you can help with.1) I would like to set an expiry date on a meeting link, so that it cannot be used after a set date (e.g. July 31st) or a date range (e.g. sending a single-use link that expires after two weeks)NOTE: I understand that a link can be set to expire after the first use.What I’m hoping for is the ability to set an expiry date for a link, regardless of if being used or not.2) How can I revoke unused links?If these options are not available, can they please be added as feature requests?

Calendly team -  is there a way to have the “personal email workflow” show up later in the meeting request process? We are using Calendly on the website as a CTA for prospects to request time from our engineers for a demo. To force them to use a business email, we need to start with asking for their email address. I want to wait to ask them for their email address until they have already picked a date and time for the meeting. There doesn’t seem to be a way to do that. However, this is the regular flow if I will allow them to use any email address. How can I accomplish this?

Why my calendar on one day is showing as not available when I am 

Hello,I created a Calendly survey and submitted my own response to test how it works. I have received an email notification showing that another person had selected three time slots, bringing the total to four.However, when I return to the Calendly page, it shows a total of seven votes. While adjusting my availability, I can see that additional votes have been submitted on different days, but I do not know who submitted them. I have not received any further email notifications about these additional responses. Clicking on those days it will take the day out of the schedule and do not so who has voted. How can I figure out?

Llevo varios días teniendo un problema al momento de pagar para hacer una reserva. Cuando un cliente intenta completar la reserva y realizar el pago, aparece un mensaje de error ( algo no sale bien). Esto me esta generando una perdida importante de ingresos, ya que los clientes no pueden finalizar sus reservas y estoy perdiendo tanto citas como confianza en el proceso.Les pido por favor que revisen mi cuenta y me ayuden a resolver este error lo antes posible. I’m creating a group class with 3 classes- the classes will be held on 3 subsequent Saturday mornings. I want people to be able to sign up for all three classes at once. They’ll be paying for all three at once, and it doesn’t make sense that they can’t sign up for all at once. Is there any way to allow this? I’ve read a number of threads in here where people are asking for this feature, and it looks like for nearly 2 years Calendly has been saying they’re working on it. This feature seems so basic and it’s clearly desired, and honestly, I might discontinue Calendly and find a calendar program that allows it. Clients have so many options out there and it’s the little things that deter people from signing up or coming back for more. Any help or thoughts here?

Hi Team, Using Calendly alot but with customers who are in very different timezones. It is really hard to do a comparison of timezones when setting up an event. is there any way to do this at the moment? Or possibly a feature to add?My current work around is to save the event and then go and choose the timezone in which the customer will be in to see if the times are appropriate.  It is quite time consuming to do and would be great to just see it at setup time. 

Hello, How do I mark an appointment as missed? Meaning the invitee ghosted the appointment. 

I am interested in creating a workflow that messages no shows a rebooking link or a message about the missed meeting.We have traditionally done this manually. I don’t see a workflow for no shows. Does anyone know of a work around?Thank you! 

Is there any solution / advice for no shows? what I’m essentially hoping to achieve is to create appointments automatically for myself to follow up for no shows. so that no show clients won’t be forgotten. Thanks in advance.
