Calendly Team Members on Outlook

Hi, when I originally setup the plug in of Calendly in Outlook I was able to see and link my team members schedules i.e. clients I emailed could schedule meeting with other team members that I recommended.  This option has disappeared for everyone and only the own meetings are available to include in emails.  What do we need to do to get settings back to the original setup. updating a name or email at time of booking new appointment

I used to add the number of the meeting after their name updating it each booking, so on Outlook could see quickly what appt it was; since the update this no longer works. Unless I re-register the client, they now for ever see that their appointment is eg: appointment 2 even as I cannot alter what the system has 'collected' as the latest name and email link. I am really missing the ability to update a name or email at the time of making a booking. Can you bring this back?

Automating Email Reminders for External Clients in Calendly Workflows

Hi Calendly Community,I’m trying to set up automated email reminders for external clients (not in my Calendly org) using Workflows, but the emails aren’t sending consistently. I’m on the Standard plan with Google Calendar integration.Details:Setup: Calendly Standard plan, One-on-One event type, Google Calendar connected, notifications set to no-reply@calendly.com. Issue: Workflow configured to send a reminder email to external clients 24 hours before meetings. Some clients receive it, others don’t (e.g., Gmail vs. Outlook). Steps Tried: Set up “Email Reminder to Someone Else” Workflow in Event Type settings (June 28, 2025). Verified email addresses in booking form (no typos). Checked Workflow settings: trigger is “Before event,” recipient is “Invitee email.” Tested with my own Gmail and Outlook accounts; Gmail received, Outlook didn’t. Environment: Latest Chrome browser, Google Calendar sync active, no spam flags in logs.Is this a known issue with Outlook delivery or a Workflow con

How long before Calendly syncs with Google Calendar?

Just that.  If I’ve allowed Calendly to sync with my Google calendar, how long will it take until Calendly reflects unavailable days?  It wasn’t instant.

What is the UUID referenced in the API for scheduled_events?

I want to get a list of all of the people outside of our organization who have attended our events. If I do this:curl --request GET \  --url "https://api.calendly.com/event_types?organization=https://api.calendly.com/organizations/" \  --header 'Authorization: Bearer {hidden} \  --header 'Content-Type: application/json' Then I seem to get a list of all of the events, but the list is much shorter than it should be. How do I get a list of every event that we’ve done in the last 6 months? Once I have that, I would like to get a list of attendees. Optimizing event_type_available_times request

Hi all,I’m working on an API integration for a website, and even though (for now) it’s working correctly, I’m wondering if I’m there’s a better way to get a user availability for an event type to display in a calendar component.Since `event_type_available_times` has a 7-day date range limit, I’m currently doing 4 consecutive calls to fetch the availability for each month. The problem is that it’s incredibly slow, so when the user first opens up the calendar, or then switches to the next month, it’s taking around 5-7 seconds to complete all the requests and display the days with availability.Is there a more optimized/faster way to do this? Thank you!

How to find "Shared Events" through the API?

I’m attempting to find all of the “Shared Event Types” in my organization (the ones whose edit URLs look like https://calendly.com/organization_event_types/<id>/edit ); it appears that none of them are returned through the list user's event types endpoint when invoked with an organization ID. If I invoke the list endpoint with an individual user ID instead of the organization ID, I can find them, but it’s not particularly efficient to iterate through all of my users and separately enumerate their event types. API Feature Request: Time Range Availability Check & Appointment Creation

Wouldn’t it be great if the Calendly API allowed you to send a time range (a start time and an end time) and then receive a response indicating whether that time slot is available? I envision an API endpoint where you send a new appointment request with a specified start and end time, and Calendly returns:• Whether that time slot is available for scheduling, and• If available, the option to create a new meeting/appointment directly via the API. This feature would make it much easier to integrate Calendly into automated workflows and scheduling systems by allowing us to quickly check availability and then book appointments if the slot is free. Looking forward to feedback and discussions on this idea!

Help requested - Retrieving UUID based on invitee information URL

Hi there Does anyone know how to retrieve a Calendly UUID, based on an invitee URL through Calendly’s APIs? For context, I am using the Typeform / Calendly integration with Make. The URL captured in Typeform doesn’t appear to include UUID information.  Any help will be appreciated! ThanksRhys

Trouble Creating an Event via Calendly API – Need Help!

 Hello everyone,I'm trying to create an event (a meeting) through the Calendly API, following the official documentation. However, when I send a request to https://api.calendly.com/scheduled_events/, I keep getting a 404 error.Here’s what I’ve checked so far:✅ Using a POST request with the required payload✅ Ensuring my authentication token is correct✅ Double-checking the API URL and version✅ Tried testing with https://api.calendly.com/users/me (authentication works fine)Has anyone else faced this issue? hide_gdpr_banner=1 for Cookie banner does not seem to work anymore

Greetings everyone, We use this option in the mobile app to hide the cookie banner, unfortunately, this option does not seem to work anymore. Is this isolate or did other people report this issue ?I was able to replicate this issue by simply appending “<event_url>?hide_gdpr_banner=1” to an event URL. Could the Calendly team take a look at this ? We operate from Belgium if that can help.

Request: API Endpoint to GET Poll Responses

 I’m reaching out to request a critical feature for Calendly’s API: an endpoint to get/retrieve poll data. This capability is essential for my business, and I believe it would benefit many other developers in the community as well. The ProblemMy team is building workflows in the financial industry where meetings need to be seamless and easy -- often requiring our internal users to leverage multiple systems to schedule, log, and execute the meeting. Currently, Calendly’s API (as of 29-Apr-2025) does NOT allow us to fetch meeting poll results, so there is no way to determine which events are ready to be scheduled across hundreds of scheduled meetings. I have a use case where I want to partner with local restaurants and offer a Book A Table feature via my app. Is there a way I can use a single ‘master’ API key to access the individual calendars of my partner restaurants and create bookings via the API?

New layout is overall worse, please revert back

 This new interface significantly impacts ease of use. If I was not required to use this product, I would have stopped using it when this new layout went into effect. It takes twice as long to schedule multiple meetings now. The Edit buttons on the far right of the panel are harder to navigate. Everything is less visible. it also will not allow you to copy/paste multiple guests into meetings the way it used to. What is the benefit to this re-design? how does it make anything faster, smoother or more functional?I would have appreciated an option to keep the old, functional layout or to chose this cluttered, less efficient option.Please consider reverting back, or allowing users to chose their layout option.

[BUG?] Single-use meeting "minimum notice" feature keeps resetting

When making a Single-use link from one of my three meetings, I get the dropdown options for the date range, and minimum notice. The date range works fine with overriding my meeting options, but the minimum notice option will revert back to the meeting value seconds after I select an override value.Normally I reserve a 48hr (2 Days minimum notice) on my meetings. Occasionally, like today I have to send out a custom one-off for a client wanting to book last minute, which I have authorized this one time, but this minimum notice keeps reverting back to the 2 days main setting when I choose 0 day, or even switch it to 2 minutes.I still need the meeting features like payment system, and questions I have for the meeting booking setup which is why I’m not just making a separate generic meeting for this.The only way I’ve gotten this to work, is by changing the main meeting settings directly, of which I have to manually revert back after they book so I don’t get any other potential clients sneak

Identify Event name

I am trying to create an automation. When a person book a time in my Event page, I sent this information to Albato, an automation tool. As I have 2 event pages, one called Interview and the other Strategy Session. Which variable should I use to identify the Event name? Even though I am using the Event variable as you can see the image, it is not working. So, I believe this is not the correct variable to be using. The name is correct but the Event this not to be the correct variable.Does anyone know which variable is the correct one to be used to identify the Event Page?Thank you!

Calendly + JIRA Integration (formatting date/time) - Need Help!

We just migrated to Calendly API v2 and are having issues with formatting the date/time fields.In particular, I’m using the start_time api field. There is no more “pretty” version of the start_time api field, so we need to format it in JIRA automation. I noticed, we get the date/time value in the start_time field as “2025-06-25T05:00:00.000000Z” (for example). However, in the JIRA documentation, JIRA is expecting the date/time field as “2020-08-18T02:40:37.0+0000” (for example). Because of this, the smart value format operations in JIRA automation do not recognize the date/time format therefore will not work. Has anyone found a solution to this issue?

New Feature Request - Customizable Query Code Autofills

We advertise the link to our Calendly on another website (which we have no control over). When a person clicks on this link, certain query codes are attached to the link.It would be extremely helpful if we could use this information to autofill the answers to some of our questions when the person is signing up for a time slot.

Feature Suggestion - customizable field names for url parameters

When prefilling Calendly forms, the url parameters codes are not customizable (i.e., first name is first_name, custom question 1 is a1).  It would be great if we could set the url field code dynamically for integration with vendors who push data in a set format (yes, requested the opposite with those vendors as well).  For instance, instead of using “a1” as the field parameter, allow user to change it to a custom name.
