Trying to figure out how to do that thing? We can help.

I’m a longtime user of Calendly and my use cases for it have expanded considerably over the years. In this Loom video, I go over my most used Event Type, the Intro Meeting, which covers a lot of different situations by which have first conversations with prospects and professional connections. What I didn’t share in the video is how I have the link for the meeting very close at hand. I have it saved as a macro on my Mac using the Text Expander app, which allows me to add it to any exchange with a simple text string.
This spanish translation reduces conversion:“Los detalles de la conferencia web se proporcionan en la confirmación.”Could you please improve it or hide? It is unnecessary and it reduces trust and conversion.Thank you! Rafa
Sometimes we are happy or need to meet with a customer outside our standard hours. I believe we can schedule a one-off event for these, but a quicker way to manage this would be an “override availabilty” button during the scheduling or rescheduling from an employee login. This ensures all of the correct information is gathered and presented, as these normal events have had a lot of time in to setting them up. Example in point, for an event type we have no availability this evening. However, we need to move a customer from next week and they can come in tonight. We can’t reschedule them to tonight without changing the availability of the host. We are happy to see them tonight, as we are rescheduling them. If there were a button for us to over-ride availability and book any time, that would be helpful. This would leave all other events untouched, and would only override for this one-off booking. It would also keep all of the details of the event correct. Example crappy photoshop. I can’t
Can I check someone in for a meeting that they booked in person? I see there is a feature for “no show” but I would like to know if the person actually showed up for their meeting and at what time. Would be great to be able to check them out as well as they leave. If they were not checked in I would like the booking to be marked as no show.
Hello. In all my other event types I am able to customize a simple link for my clients and prospects to use but on the round robing one the option Event Link usually available in the section Options of the Reservation Page is not there. Is there a solution for that?
I work for an education trust for a healthcare organization and we serve over 70,000 clients across multiple regions so we have a large team of career development and academic success professionals that meet with our clients. We officially made the transition to Calendly from another calendaring system about 4 months ago and the first thing that we excited to set up were the different teams within our organization, a feature we didn’t have with the last system. Using the managed events feature has been a game changer for us and allows our leadership to ensure that all of our staff are providing the same type of services.
I have two events on my account where people have the ability to schedule time in my conference room or in one of my shared offices. It seems when someone schedules time in the conference room, the system automatically blocks off the same day and time in the shared office. How do I fix that?
How do I make sure that emails reminders are showing my clients time zone and not mine ? Both reminders and calendar invites is in my times zone, even tho I have the setting, they calender should being viewed in their own time zones. This is a nightmare admin wise, I need to manually rebook them, because they are showing up on the wrong time.
HelloI have a problem with my text reminder function.I cannot make any space between lines to make it look nice.Even though i press enter to make space and click save it does not apply. Look picture. This is how it looks on the text: It looks so bad. Please help :/
In the Calendly mobile app, it shows the rescheduling of a meeting as an activity In the "notifications" section, how can I see that on my computer? Is there a filter that shows me all the meetings that have been rescheduled on the computer?
I have a set availability for my schedule with the exception of some date-specific times but for some reason, my events don’t follow these times once I preview them. I’ve even checked them on a different device and it still looks the way that it looks on the previews. I only have one schedule with my work hours so I don’t understand why it’s not working correctly. I don’t have my Google calendar linked either because that was causing a whole other time conflict. So I shouldn’t have anything conflicting or changing my availability. latest times available for this day that show up when i’m editing it ^^^^ the latest times it shows during the preview (should be up until 6 pm as shown in my previous image) ^^ earliest times for this event on this day^^ earliest times during the actual scheduling (first image does not include any 7 am times) scheduling all begins at 10 am but all of my days scheduled start at 7 am and end at 2:30 when my availability says otherwise and doesn’t follow the
I wanted to reiterate the issue raised by another user at the link below as the reason I also don’t think I can use Calendly. I work in private equity investor relations and need to schedule anywhere from 20-50 meetings per week. The typical scheduling process in my line of business is (1) I or my Associate emails an invitee 3 meeting time options, (2) the invitee replies to that email stating their preference, (3) my Associate sends the invitee a calendar invite with a necessarily formulaic calendar event name for CRM-tracking purposes - something like “2pm ET | Intro Call: Inviter Co. (My Name) <> Invitee Co. (Invitee Name).” It would be SO HELPFUL, if for one-off meetings, you could just make the Event Name the name of the calendar invite by default! That alone makes the service unusable for me because “Invitee Name and Inviter Name” is not at all helpful for someone who regularly has back-to-back days of meetings on various topics.
I would like my planned appointments to be accessible both internally and on a website accessible to the general public:Events are bookable by the general public up to two hours prior to the event.I want to stop staff bookings for walk-ins for the two hours leading up to the event, but I still want to allow public bookings.Although public bookings are banned, I am aware that Calendly has a "minimum notice" setting. However, I would like to know if this setting permits personnel to book customers inside that two-hour window. Is Calendly able to do this, and if so, how do I set it up?
I’m no longer receiving customer invite emails. Question 1Iv’e scheduled a test event, used my personal email to test it, while calendly emails my work address with confirmations. I get the calendly confirmation to my work email letting me know an event has been scheduled but not the customer confirmation email to my hotmail. This happens when the event is set to email confirmation. I’ve checked junk and spam folders and nothing in received. question 2 - when set to email confirmation, is there a way to have the calendar invite add the invitee to the guest list and not just adding their email into the email copy?
I’m very interested in your product because it offers unique features and has a clean, sleek design. However, I'm currently considering other calendar invitation options, like Trafft and Setmore, due to their integration with Google My Business (GMB). This integration is crucial because the booking tab appears directly under the Google options, leveraging Google's status as the world's leading search engine. It's also essential to ensure consistency between GMB and WordPress. I've noted your previous suggestions about using Zapier and Make, but these solutions don't provide the GMB booking button, which is a key feature for me and many other users. We really hope you can incorporate this feature to prevent us from looking at alternative providers.
“You can join this meeting from your computer, tablet, or smartphone.”How do I edit or remove this language? We only want our clients to use a laptop or desktop computer. We are seeing this in every Zoom location event. It does not show up on event types that have an in-person location/address.I noticed another thread on this forum that suggested Google meetings have the same language in the event email to the invitees. This suggests the text is coming from Calendly, not from another service like Zoom or Google. It’s the same language.“You can join this meeting from your computer, tablet, or smartphone.” Please allow us to change this or remove it altogether.
I have a use case that calls for 1, 2, or 3 calendars to be shown for one question. For example, if a prospective customer wants to schedule an in-home appointment based on zip-code, some zip codes are serviced by more than one estimator. If one of the estimators is on vacation, or booked out for a few days/weeks, my client wants it to show another calendar with more times. So I need the calendar to offer next available times from several calendars. Is that possible? If so, how?
When a Prospect books a new Intro meeting with me, I have to manually add 4 other people to the invite (Execs and Admins). These same four should be added to each invite automatically. How can this be done?
The current default on any new invite is “My Name + the Full Name of the person booking the invite”. For example, some books a new appointment and they get an invite that has “My Name and Their Name”. I end up having to fix the Subject Line so it is more specific to the meeting. For example, I would change it to: “Google Meet: My Company Name + Their Name”. How can I change the default subject line and add a personalization field (i.e. “Their Name” which is what they entered in the form field when they booked the appointment).
can a prospect cancel an appointment? how?
Why doesn’t calendly allow for booking accommodations? Users should be able to simply select one event per calendar day in contiguous blocks. I know a lot of other people are trying to solve that problem but it would be nice to get that feature.
Hey there, I´m hosting a coaching program and for the one-on-one coachings I created with each coach their individual Calendly booking page so that the participants could book their sessions with them. But now there are coming up more and more problems I never experienced with Calendly so I was wondering if anyone have had the same issues lately or knows how to solve them. The main issues we had were:the Calendly site was or is currently offline and just shows “404 page currently not available” even when the coach logs in and tries to refresh the link when booked an appointment the coach received an confirmation mail that someone booked a session with them. The participants who booked the session didn't get any sort of confirmation mail or calendar invite or link for zoom / google meets etc. All they got was the confirmation on the Calendly website after booking. the coaches got a confirmation for a different time slot. e.g. the participant booked an appointment at 10pm and in the conf
Hello, in what way do I ensure that after a scheduled appointment, I also receive an email with the appointment itself? And can this be done in the free version or do I need to purchase the paid version for this? Thanks in advance!
