I want to set up a system in Calendly where users can book up to 8 one-on-one sessions with my founder, but no more than that. I'm considering using Zapier + Google Sheets to track the number of sessions each user books. Here’s what I’m thinking:When a user books a Calendly session, Zapier logs their email and tracks the number of times they’ve booked in Google Sheets. If they have booked less than 8 times, they can continue scheduling. Once they reach 8 bookings, I want to prevent them from scheduling additional sessions. Is this possible? If so, how can I automate the restriction so that Calendly blocks bookings beyond 8? Would I need a separate integration for this, or can it be done within Zapier?Would love any insights or alternative solutions!
My Round robin Is giving me issues. We are unable to host meetings in the same timeslots.I have tried troubleshooting, but it creates conflicts in our schedules no matter if one of us is free. How do i change the access to allow both hosts to be scheduled out.
I pushed the event delete button by mistake and there were already many invitees listed. For sure they have received an email from Calendly about the event cancellation. Is it possibile to delete a wrong event cancellation where many invitees were listed?
Hi, When you want to send a mass email to all past clients, the advice from Calendly was to download the list of clients, and then upload them into your marketing email software. However, that can only be done if the client has opted-in for the extra messages. So my question is: When a (new) client signs in for an appointment with me in Calendly, have they had the opportunity to opt-in for additional messages not related to the actual appointment? Thanks in advance for your answer, cheers, Els
When utilizing the Book Meeting feature of the Chrome browser extension as discussed in the Schedule in real time with Calendly's extension post, we’ve noted that the text (SMS) reminder notifications do not send and the box to even enter a number to opt in is missing. This is presumably caused since the Book Meeting feature does not include the “Send text messages to” field that is found on the booking details page of the normal view on the calendly website. Is there a method to include that field when utilizing the extension’s ‘Book Meeting’ feature such that text message reminders are sent? That is a big reason for utilizing the Calendly service. Booking Page in Website: Booking Page in Extension Popup:
How do people indicate that they are unavailable in any the options? Not responding to the poll is unhelpful, because then I have no way of knowing if they ignore the poll or if they are unavailable. Thank you!
HI,I set up last week to be alerted when someone schedules an appointment with me via text. I am getting multiple alerts of someone scheduling but when checking the calendar, no new appointments. What do I need to check and fix, please give suggestions!Thank you!
I have an event type that is 90 minutes. When I book through the mobile app, it asks me to set the duration and the pre-set duration is set at 30 minutes. I don't understand this. Also, the calendar view on mobile does not show an overview of bookable slots or indicates which days have bookable slots. Is this supposed to be this way? Thanks in advance
Hola! queria saber si hay posibilidad de sincronizar de tal manera con ZOOM para que si ya hay una reunión creada anteriormente en zoom, esa franja horaria por defecto aparezca bloqueada en Calendly y no tener que hacerlo de manera manual.Gracias
How do i change the timeslots offered from for example 90 days to 60? Cant finde the link on the right side, can somebody help please
I’m looking at routing forms and have a question. I’d like to create an option to deliver a custom made relaxation audio for a client. They would answer a questionnaire and based on that I’d create the audio and send it to them. So there wouldn’t be a meeting with them. Is there are workaround for this? Or would a meeting be scheduled on the understanding that it isn’t an actual meeting??
Town residents will have the opportunity to setup 10 minute meetings with one of the 2-3 people working in the assessors office on specified days. I’ve setup a calendar with available time slots on appropriate days. Resident #1 signs up for 9:40am - 9:50am with assessor #1. How does resident #2 sign up with assessor #2 or #3 that are still available for the same time slot? I don’t want to have the resident viewing 3 different calendars for availability. I’ve been able to figure out everything else so far with Calendly. Thank you in advance for your assistance.
We are using a round robin event for leads, distributed across about 5 team members. We round robin based on available time to give the potential client the most options. We need the ability for team members to limit their availability. Some may want as many meetings as possible, some may want to limit to 2-3 per day or per week. I have seen this requested a few different ways, but am I correct that this functionality is not available presently?
Hello,On the Meetings page, the meeting times next to the colored dot are all in EDT. Below it and grated out are the times in my correct time zone. This is very confusing. Since this information is for me shouldn't my time be displayed prominently. It works on mobile view, where only the meeting time in my correct time zone is displayed. How do I fix this?
Does Calendly still require full access to Office 365 - Outlook Calendar? Meaning Calendly can read the actual event data on your calendar instead of just checking your availability?
We have a few different event types and each event type has a group of users that get assigned via round robin. We want our AE’s to be able to click a button in Salesforce (one button per event type) and generate a single-use link for an event type. My understanding though is that the Salesforce integration does not support/come with single-use links. Is this true? If so, are there any workarounds/alternatives?
After created an event, I added many questions with answer type is “Single Line”. Question is:Is it possible to set the type of answer field to “Number” and auto accept/reject the booking based on the that number (Ex: accept only if the number is equall or less than 100). From the number field as mentioned above, can we do the sum calculation on that number field of all booking in a day.
HiCan you help me, how do we set up Calendly for our students to be able to select a 30 min meeting with one teacher - but the student need to be able to select between multible teachers calender and their timeslots?
Hello,I have integrated Calendly with HubSpot in order to retrieve the list of participants for my webinar directly from HubSpot. Here's how it works now: a participant fills out a HubSpot form containing UTM campaign links, then receives a Calendly invitation to register for the webinar. However, when people register directly via Calendly without going through the HubSpot form, the UTM information is not transmitted to HubSpot.Do you have any solutions for automatically retrieving the UTMs of Calendly registrants who did not use the HubSpot form?Thank you in advance for your help.Best regards,Translated with DeepL.com (free version)
Hey there, is it somehow possible that my college shares his calendar with me so I can see whom he was an appoinment with? Or do I have to use his login-data in order to see his full schedule? I would like to see the names of specific appoinments so I can synchronize it with an extern list. Or do we have to purchase a higher abo for this requeset? Thank you so much in advance! Greetings Timon
Howdy CalPals! Lately I’ve been on a bit of a Zapier kick lately—exploring different creative workarounds and solutions that can be configured using our integration with the application. For some background, Zapier allows you to connect Calendly with thousands of apps, including Google Apps, RingCentral, Redtail CRM, and more. This week, I came across a solution for creating recurring events triggered by Calendly-booked events. Problem: At this time, Calendly event types only support the creation of a single calendar event per booking and cannot create recurring calendar events. Solution: Using our integration with Zapier, you can automate the creation of a recurring calendar event triggered by the booking of your initial Calendly-created event. Who Can Use This?Calendly’s integration with Zapier is available to users on our Standard, Teams, and Enterprise plans, as well as the legacy Professional plan. Note: Some of the Zapier functions referred to in this workaround are only available
We are setting up a routing form with the input style set to first + last names, and these fields are set to required: However, when the form is embedded, the field label just says “Name” and doesn’t have the required field asterisk, despite being required:How do we get the form fields to display as intended? The missing asterisk seems like a bug. Thanks!
