Scenario / QuestionHow can I limit my availability so invitees can only book with me within the next two months, instead of far into the future? OverviewYou can restrict how far in advance people can book by setting a date range on each event type. In Scheduling settings, choose a specific number of days into the future (for example, 60 days) or set an explicit date range window. This prevents invitees from scheduling 5 months out. Step-by-StepOpen your event type: Go to Scheduling and select the event type you want to edit. Go to Availability: In the event type, use the dropdown for Availability: Open the date range: Under Date-range, open the range dropdown (for example, "60 days"). Choose your window: Pick one of the three options: Number of days into the future — set how far ahead invitees can book. For a 2-month window, set 60 days. Within a date range — pick a specific time window for booking. Indefinitely into the future — allow invitees to book anytime. Choose day type
OverviewIf you haven’t received your Calendly email invitation or confirmation, first identify whether you’re the host or the invitee, then check the appropriate inbox and settings. Hosts receive booking confirmations from notifications@calendly.com to the email used for their Calendly login and should also see events in Scheduled Events and on their connected calendar. Invitee notifications depend on the host’s settings; if you’re an invitee, contact the host if you can’t find the email. Step-by-Step GuideDetermine Your Role Are you the host (the person with the Calendly account) or the invitee (the person who booked with a host)? If You’re the Host, Verify Expected Confirmations Check the inbox for the email you use to log in to Calendly for messages from notifications@calendly.com. Open Calendly and go to Scheduled Events > Upcoming to confirm the booking exists. If you’ve connected a calendar, check your external calendar for the new event from your Calendar Connection settin
Scenario / QuestionI want to block off specific times so people cannot book with me, but only for certain event types (not all). How can I do this without placing holds on my external calendar?OverviewYes, you can block off time on specific event types by using date-specific hours within that event type's schedule. This lets you make yourself unavailable for only that event, without changing your global availability or adding blocks to your external calendar.Step-by-Step InstructionsOpen the Event Type Go to Scheduling and locate the event type where you want to limit your availability. Open the three dots menu and select Edit. Go to Availability Settings Expand the Availability section of the event editor. Switch to a Custom Schedule From the Schedule dropdown, select Custom schedule. This keeps your changes limited to this one event type. Set Date-Specific Hours Under Date-specific hours, select + Hours to create overrides for the dates and times you don't want to meet for this e
Scenario / QuestionMy booking page doesn't show availability (e.g., Monday at 2pm) even though I've updated my hours to include weekends. How do I fix this?OverviewAvailability can be blocked by multiple settings: external calendar events, your active schedule, or event-level scheduling settings. Use the Troubleshoot Tool on your scheduling page first—it identifies the exact reason time slots are unavailable and points you to the fix. Then verify your calendar conflicts, schedule selection, and event settings.Step-by-StepOpen the Troubleshoot Tool: Go to Scheduling and open the event type you want to review. Select Preview, then scroll down and select Troubleshoot. Check what's blocking your time: Select the date you're investigating, then review the time and its troubleshoot code. If no dates or times appear at all, go to the Availability section of your event type and review your settings. Check your connected calendar for conflicts: Go to Availability > Calendar settings and revi

OverviewYou can't add guests to a booked 1:1 directly from the Calendly meeting after it's scheduled. Add them either to the calendar event itself (Google/Outlook) or reschedule the existing Calendly meeting to the same time and add guests during rescheduling so they receive Calendly communications. Guests added only in your external calendar will not receive Calendly reminders or follow-ups.Step-by-Step InstructionsQuick one-off: Add guests in your external calendar Open the existing calendar event (Google Calendar, Outlook, etc.). Add the additional email addresses as event guests. This sends them a calendar invite from your calendar system, but not Calendly reminders. OverviewYou can use a shared mailbox calendar with Calendly, but you must first add the shared calendar to your own Microsoft 365 account so it appears in your calendar list. Calendly can only see calendars that are added to the connected Microsoft 365 account; opening the mailbox via “Open another mailbox” does not expose its calendar to Calendly. Step-by-Step InstructionsAdd the shared calendar to your Microsoft 365 account: In Outlook or Outlook on the web, add the shared mailbox calendar so it appears alongside your calendars in your account. Scenario / QuestionI’m setting up event types and see “Communications” in settings. What’s the difference between Calendar Invitations and Email Confirmations, who can use them, and how do I switch between them?OverviewCalendly can notify invitees using either Calendar Invitations (sent from your connected calendar) or Email Confirmations (sent by Calendly with an .ics attachment). Both options are available on all plans; paid plans add customization and reminders. Some connections and event types force Email Confirmations due to compatibility and privacy rules. Step-by-Step Open your event type: Go to the specific event type you want to update in Calendly. Select More Options at the bottom of the event type editor Select Notifications & Workflows, then find the option for Calendar Invitations/Email Confirmations and select the three dots to open the editor: Here, you’ll be able to switch to/from Calendar Invitations or Email confirmations. Is there a way to change the language from US to UK English? I can only see ‘English’ as an option in the language settings.

How can I set up Calendly so my Office 365 Calendar won't show details to the public
I have two events: foster interview and adoption interview. I want each to add to their own connected calendar. I created adoption to go to the adoptions google calendar and then set up fosters which was defaulting to the adoptions calendar. I removed it to add the fosters calendar, but it also removed it from the adoptions event. Can I have different calendars attached to different events?
I came here to find out if this was a feature I was overlooking and after noticing a few posts about this not being a feature Calendly is planning to implement I’ll be researching alternative platforms. Does anyone have a workaround (workflows, maybe?) to use in the meantime?
Hi I have created an account, I have connected outlook successfully, but my test appalment wont synchronize. How do I resolve?
Hi everyone,I manage scheduling, and I’m facing an issue where some clients see limited or no time-slot availability, even though my full weekly schedule is set up properly. I’ve already checked time zones, buffers, and calendar sync settings, but the problem still persists.Has anyone else dealt with this issue? Any suggestions on what I should review or adjust would be greatly appreciated. Thanks in advance!
Hello, does anyone know why it says “conflict” on the email confirmation? And how to fix this? Image is attached with the message.
Well, I see I’m not the only one with this issue. Now I’m wondering if I’m the only one who hasn't got it resolved or feeling completely ignored! I too mistakenly didn't see that I was signing up for a yearly subscription! This was back on November 2nd and its the 19th! I stared off with some confidence that maybe I would get a partial refund after describing my situation. That I’m on disability and some of that $120 ($100) of it was supposed to for my rent. After some replies and some confusion on mt account and Calendly unable to locate my account and payment info, I sent you guys my receipt and card and bank statement then NOTHING since! After several attempt through e-mail I've received no response and now assuming maybe I am just out and letting my landlord know Ill somehow make it up in he future.
I moved to EST from Central. At first, meetings were working just fine. Then all of a sudden, in the last 2 weeks, if someone from ANY time zone books with me, it hits my email with the CORRECT date and time. It hits my Outlook calendar for 2-5 seconds at the CORRECT time and date. THEN moves down 6 hours. same date, WRONG time. I have spent 2 hours on the phone with Calendly and 1 with Microsoft. All settings are CORRECT, and both are blaming the other. Has anyone had this issue and found the solution?
Do you have any training that would help me know how to connect my Facebook ads to Calendly? Thank you, Leia LeMaster Horton, M.Ed.Founder, Horton Test Prep
I’ve been seeing requests for this on here for over two years now. It is forcing us to switch to another provider unless you can give a clear timeline of when this will be added.
