How Do I...?

I am an agency owner and then have an employee whom I’d like us to have one shared calendly link for clients to coordinate client and potential client appointments.  Our office assistant helps manage our schedule and fills in appts when we have people call in to the office to schedule so I’d like her to have access/schedule management as well.  I’d like to create a link that shows our shared availability but not allow clients to necessarily choose who they work with because I’d like to vet with my employee who should take the request depending on our current work load.  Is there a way to have both of our availability in a client facing calendar system but then on the back end, we’re seeing when clients are requesting appts and I/we decide who gets “assigned” the actual appointment?  Is this possible?  Or other suggestions?  If not, if a client requests one of us, and due to our client load, the other has more capacity to take the appointment, can we reassign the client meeting to th

Hi folks,I’ve just added a Calendly Routing Form to our commercial web site. Love it so far… except that I need to notify my sales team every time a form is submitted -- even if an event isn’t booked.In our Routing Form we ask: “What’s on your mind?” and the radio button choices are “I’d like to schedule a demo”, “Please contact me via email” and “Please call me”.  When the second two are chosen, I’ve configured the routing so the user just sees a message of “thanks we’ll be in touch”. i need to notify my sales team so we can be in touch!I don’t see any actions in Routing or in the Event to email a team.Thanks in advance,g

I am new to Calendly and I set up payment as required for my clients before scheduling.  They can choose any day to schedule to make payment, but I want to be the one to send them my specific zoom link.  I don’t want them to recieve the calendly web conference link which I see under booking page options-there is automatically a calendly event link aleady there.  I did choose location as zoom, but I want to make sure a calendly web call link is not sent.So my two questions are #1- if my client picks any day on my calendar for the purpose of payment and confirmation that they want to join, after payment does Calendly send them the generated calendar invite link?  I prefer not bc I prefer to send them my own zoom link directly for this particular event i have.  And #2-i would like to require recuring payment. If I create a one-off meeting with a few time options and don’t put placeholders in my calendar, what if a different meeting gets scheduled during one of the times in the meantime? Does it make that specific one-off time option unavailable for the person booking or does it get double-booked?

Zoom events are being setup with no password. Which then means Zoom’s stupid security kicks in and the waiting room is activated requiring me to pay attention to the waiting room and allow people in. Zoom has recently disabled the option to turn this off. So, if a zoom invite does not include the password, waiting room is mandatory. When I make a zoom invite myself, a password is naturally added. When calendly makes an invite, there is no password included.

I would like to show the total number of spots and the remaining spots on each time in a group booking link. This is for volunteer signups, where it is good for volunteers to see how many people is signed up for each time instead of spots remaining. Happy to share more if this is not clear enough!

Hi guys I am struggeling to set up Calendly.Right now we use several differnt Calendly Accounts which are connected to their own google calendar. We are doing this to be able to offer video appointments and showroom appointments at the same time. Our simple goal is to show the 4 events (assigned to 3 different google accounts/calendly team members) in an overview like here https://www.calendly-embed.com/inline-2. Maintaining the availability times for every team member from our admin account. But even though I assigend the events to the members, they only show up on their own booking page. (How) is it possible to show all group events & to manage the availability from one account?I appreciate your help!

I run ongoing support groups and have them set as a series of events. I want to change the title of the individual events to reflect the topic of that session (i.e., without changing the overall event series title) - is this possible? 

Hi I set the text reminder on for the invitee and I know it is going to set up a field in the event questions as a phone number. Can we make this field compulsory? Because according to our sales process, it is compulsory to send a text message reminder to the customer. I can add a phone number as a compulsory question but then there will be two fields for the customer to fill which might be a problem to them. Also what if we go ahead with that option to keep both fields and the customer avoids the phone number field for the text reminder, does Calendly automatically pick the phone number field in the question? Much appreciated the support. My bookings/scheduling page currently says ‘Welcome to my scheduling page. Please follow the instructions to add an event to my calendar.’. I want to edit this text to reflect our events but I can’t find an option to do this and Google had no answers. Does anyone know how to edit that text?

Hi, how can I override my pre set available hours when occasionally booking in a client outside of my hours?   For example i’ve pre set my available hours as 7am -5pm but I want to schedule a client in a 6pm as a one off but cannot see how to override my pre-sets.

Hello.  I cancelled my professional plan last August 2023.  Calendly now call this a “legacy plan” which cannot be purchased by new users.  I’ve contacted Calendly help twice now to ask whether I can reactivate my old professional plan (they have assigned ticket IDs to my question but have not answered, so I am falling back on the community for guidance).  If I cannot reactivate it, can you advise which of their new plans maps best onto the professional plan (I’m no expert, I just use it when I need it)?

I have contractors who get paid via Stripe Connect accounts. Basically the client pays a fee and a part of it gets routed to me as the business owner (Stripe refers to it as a “platform fee”) and the other to my contractor. https://stripe.com/connect Is there a way to set this up within the event booking page? I create round robin links with my colleagues and i optimize for equal distribution to ensure we all get a fair number of bookings. 

Is it possible to delete an email address that has subscribed to a workflow? I have a workflow with addresses in it, but one person wants to opt out of getting the emails from the workflow. How do I do this? 

I’d like to adjust my availability to minimize gaps and maximize my day by clustering my appointments together.
