How Do I...?

I desparately need a cancellation fee or equivalent for no-shows. Is there any way to do this in Calendly? I’d be happy doing what restraunts do and take a credit card but not charge the card if you show up. That would easily fit into Calendly’s current charge-for-service flow. Right now, I’m charging a fee and issuing a refund, but there are fees and red tape involved with that which I’d rather not deal with.

Hi, when I originally setup the plug in of Calendly in Outlook I was able to see and link my team members schedules i.e. clients I emailed could schedule meeting with other team members that I recommended.  This option has disappeared for everyone and only the own meetings are available to include in emails.  What do we need to do to get settings back to the original setup. I used to add the number of the meeting after their name updating it each booking, so on Outlook could see quickly what appt it was; since the update this no longer works. Unless I re-register the client, they now for ever see that their appointment is eg: appointment 2 even as I cannot alter what the system has 'collected' as the latest name and email link. I am really missing the ability to update a name or email at the time of making a booking. Can you bring this back?

I’m on the Standard plan with Google Calendar integration.Details:Setup: Calendly Standard plan, One-on-One event type, Google Calendar connected, notifications set to no-reply@calendly.com. Issue: Workflow configured to send a reminder email to external clients 24 hours before meetings. Some clients receive it, others don’t (e.g., Gmail vs. Outlook). Steps Tried: Set up “Email Reminder to Someone Else” Workflow in Event Type settings (June 28, 2025). Verified email addresses in booking form (no typos). Checked Workflow settings: trigger is “Before event,” recipient is “Invitee email.” Tested with my own Gmail and Outlook accounts; Gmail received, Outlook didn’t. When making a Single-use link from one of my three meetings, I get the dropdown options for the date range, and minimum notice. The date range works fine with overriding my meeting options, but the minimum notice option will revert back to the meeting value seconds after I select an override value.Normally I reserve a 48hr (2 Days minimum notice) on my meetings. Occasionally, like today I have to send out a custom one-off for a client wanting to book last minute, which I have authorized this one time, but this minimum notice keeps reverting back to the 2 days main setting when I choose 0 day, or even switch it to 2 minutes.I still need the meeting features like payment system, and questions I have for the meeting booking setup which is why I’m not just making a separate generic meeting for this.The only way I’ve gotten this to work, is by changing the main meeting settings directly, of which I have to manually revert back after they book so I don’t get any other potential clients sneak

Hi, I am completely lost.People book from my Calendly to book a call with me but they do not get any link call.Me neither. I just receive a notification a person has booked a call with me. Now the point is that I tried to connect my Google Calendar with my Calendly, but I do not understand what I am still missing because it does not work. Could you assist please?

Hi everyone,I’m experiencing an issue with my Calendly setup. When I share a one-time link for scheduling, it shows some unavailable times as available for booking. However, when I use my regular link, the availability is accurate.Has anyone else encountered this problem? What could be causing the discrepancy between the one-time link and the regular link? Is there any way to use templates when zoom integrates with Calendly? Specifically, i would like the zoom link that Calendly send out to require registration.

I am the owner of a practice and I have multiple team members each member has their own calendar request line so that people can choose them based on their schedule openings but each charge needs to come back through the company and I am connected through stripe and PayPal and when I go to connect their links to stripe or PayPal it is not coming up for me to add. I do not understand why not. It is the last thing I need to do in order to make this live and get it out there and it is VERY FRUSTRATING not having this option open up for two of my team members! I NEED HELP FROM A HUMAN BEING! 

Does anyone know whether the number of permitted characters in an internal note within the event has been reduced?  I have a screen shot of a now deleted event with well over the allowable 165 now permitted?

Does Calendly have a feature to prevent clients from cancelling a session within 24 hours policy. Desperetly need this feature. Is this too hard for Calendly?

We want to be able to bulk add hosts to event types whenever we have new staff join.  Why is there no bulk uploader or manager for events.  For example: User A is a part of 15 Calendly events and 3 teams that they manage on behalf of an advisor.User B is joining the team and we want to add them to all 15 events and 3 teams. Currently we have to go one by one into the events to add the new user.  Is there a better way?

Will you ever implement campaign workflows specifically for prospects who have opted in to receiving communications from me?For example, if I enter the name, email, and phone number of someone who inquired about my services, would it be possible to set up a workflow that sends an email and text campaign over a 7-10 day period to help schedule appointments? Right now, I manage this manually, which is time-consuming, though still more efficient than calling each individual.Additionally, do you have plans to incorporate an AI assistant that could engage prospects via text/email/phone to assist with booking and answering questions in the future?

I have my calendly set up for  different type of events.  Three of them are 1 hour in length and 1 is 30 minutes.  When I set the duration of the meeting for 30 minutes or 1 hour, that also sets the time the prospect booking the appointment can choose to an even 30 minutes or 1 hour schedule.  I would like to offer a client the ability to choose a 7:30 time for 1 hour, but cannot find a way to do that except for setting the duration for all the event types to 15 minutes and putting the time expected in the title of the event.  This causes some confusion though when the client gets the auto reply confirmation saying they have a 15 minute time on xxx day at xxxx am/pm.Is there a way to set the available time selection to 15 minute increments for the client but have it reserve 30 minutes or 1 hour on my calendar?

Hi Team,I have two scenarios that I’m hoping you can help with.1) I would like to set an expiry date on a meeting link, so that it cannot be used after a set date (e.g. July 31st) or a date range (e.g. sending a single-use link that expires after two weeks)NOTE: I understand that a link can be set to expire after the first use.What I’m hoping for is the ability to set an expiry date for a link, regardless of if being used or not.2) How can I revoke unused links?If these options are not available, can they please be added as feature requests?

Calendly team -  is there a way to have the “personal email workflow” show up later in the meeting request process? We are using Calendly on the website as a CTA for prospects to request time from our engineers for a demo. To force them to use a business email, we need to start with asking for their email address. I want to wait to ask them for their email address until they have already picked a date and time for the meeting. There doesn’t seem to be a way to do that. However, this is the regular flow if I will allow them to use any email address. How can I accomplish this?
