When customers first enter Calendly, one of their first questions is, “How does Calendly know what times I am available?” The answer lies in connected calendars! But how does a user, admin, or owner connect their calendar? Often, admins and owners can find difficulty pushing some of their users across the finish line to connect their calendar because they don’t know where to go. This is why I have put together a simple navigation guide (with videos included) of the different areas across Calendly where a user can connect their calendar. Please note: Some of these instructions may vary or appear differently in your system compared to those of other users. I noticed a difference between using the app vs the website when rebooking for my clients. I tend to use the app, but when I go to past events and click the option to book a new appointment for my client, it doesn't carry over their phone number for text reminders. If instead I use the website, the number carries over automatically. Can this be fixed on the app side so I don't have to switch between app and website?
How do I change how my scheduled appointments show up in my calendar?Right now they are showing up as; [event name] with [invitee name]orCancelled: [event name] with [invitee name] But Id much rather them show up as;[Invitee name] [invitee phone number]
I only want clients to book meetings at specific times (10:15am, 11am, 1:15pm, etc.) instead of any time between 10am-6pm. I use another calendar scheduling software called TimeTrade and it allows me to pick specific time slots that can be booked which allows for customization. How do I do replicate this in Calendly?

It looks like the features exist within Calendly to easily do this already with team members, but my situation involves an ‘external’ host. I’d like to have an event type where two specific hosts must be present, one is within our organization/team and the other is an external person who has their own Calendly/business already. So I want people to be able to book calls based on when our schedules overlap and have availability, but I don’t think I can add this person as a member of our team/Calendly account specifically. How could I best make this work? 😊
I love Calendly but the failure to allow customers to use a discount code is becoming a deal-breaker. Cloning the event is not a solution because there are too many automations relying on the event and it’s extremely painful to duplicate everything multiple times based on the different discount codes. Unless this is a feature that is offered soon, I may have to switch to another calendaring system such as Acuity that allows for a discount code.
Hello,I would like to not receive a booking notification email after someone has booked a time. For instance, I just created an event that over 1500 people will be picking a day and time and I do not want to receive an email every time a spot is picked. What can I do?
I really appreciate the ability to customize schedules for different event types (lunch meetings vs. meeting meetings), and setting days you’re not available is great. It would be great to be able to set a date override for multiple schedules at once. IE - when I say I’m gone on Thanksgiving, not having to make that notation twice for my “Working Hours” schedule as well as my “Lunch Meeting” schedule. Is this possible? Edit: I know I can dictate availability with my calendar account. Just wondered if overrides were possible on multiple schedules.
first ill have to say i really dont like the new design - how to change the event link afterwards when i cloned an event ? lets say i have “appointment A” then i clone it and name it “appointment b”i’ve managed to do that with ease but it still shows the event link from a and i cant find the option to rename it ???man, i wish you would revert to the previous state - looked way better, cleaner and easier to use.
I’m working with a midwifery practice that would like to more easily schedule multiple meetings with clients. Whether its a workaround or a feature I’m not familiar with, I’m curious how others are handling recurring, or multiple meetings scheduling with their clients!

I have enabled IDEAL as a payment method via stripe, but in Calendly, when I want to make an appointment, I only see the option to pay by card. I also cannot find how/where to change this to an IDEAL payment. How can I set IDEAL to be the Calendly payment method? Thanks for your help.

Hi, We have a reminder workflow that fires 15 minutes before an event begins. It shoots an SMS to both the host and the Invitee. Our current set up is that we have two slots for every meeting time available ( 15 mins / 30 mins ) but we have a problem in the reminder messages that are sent to the host, the SMS simply says ‘multiple invitees’ instead of the invitee’s names regardless of the number of slots booked. (Refer to the attached current workflow message) Here’s our ideal work flow :→ If there is only one slot booked then it should print the name of the only invitee available.→ If both slots are booked then it should print the names of both available invitees. I marked my schedule as ‘busy’ during 8:00 am - 5:00 pm in my personal google calendar, and it normally works fine… But, today, on my Calendly booking page, it is only showing 8:00 am - 10:00 am as busy and then 5:00 pm - 7:00 pm as busy… Troubleshoot says that the times shown as busy are due to the ‘busy’ status market in personal calendar, but Troubleshoot is not giving any reason for the middle hours of the day not blocked as these are shown as available...
Hi all, We are looking for a functionality in Calendly to monitor the availability of a group on a specific date of a scheduled event. Concretely, We have 10 days with 40 timeslots and 10 users, and we want to continuously monitor (1) which slots are booked, (2) which slots are available with granular view on user/event type / group Does anyone know if this functionality exists in calendly and if not what are alternatives to export each users calendar incl. per day the timeslots available and timeslots booked? Every time I want to type any description in the Description box it gets automatically erased. It's a bug for sure. Can anybody help or fix this bug? Thank you
Hi. When I share my Calendly links via social media, the tiny profile pic of me (which works well in the Calendly website) appears pretty big in the share image. This always puts me off sharing my link via DMs and posts, because the large photo of myself looks a little on the narcissistic side! I don’t suppose there is a trick to change how large the photo appears in shared links on social media, or a way to toggle this off as a share image (but keep it as a profile pic when people are using Calendly)? I assume the only way is to change or delete the photo from my profile so it doesn’t appear anywhere? Is that right?I’ve attached a screenshot showing how the link appears now. *slight shudder of embarrassment at how big the photo is*
Hi. I was thinking of using Calendly for my office and tried the free version.However, people have been setting up appointments outside of my set availability. Anyone else experience this? I tried the troubleshooting but no cigar!
I want all of the events that are made through my calendly link to be added to my Google Calendar, how can I do that?
